We are seeking a highly organized and detail-oriented Assistant Business Office Manager to support the daily operations of our nursing home's business office. This individual will assist in managing administrative functions, billing, insurance verification, and resident financial records. The ideal candidate will have experience in healthcare administration and a passion for providing excellent service to both residents and staff.

Key Responsibilities:

  • Assist in overseeing the daily operations of the business office, including billing, collections, and payroll.

  • Work with the Business Office Manager to ensure compliance with all financial, regulatory, and operational policies and procedures.

  • Maintain accurate and up-to-date financial records for residents, ensuring all charges, payments, and insurance information are processed promptly.

  • Assist with the preparation and submission of insurance claims, ensuring timely follow-up on unpaid or denied claims.

  • Support the coordination of the billing process and provide assistance to residents and families with billing inquiries and concerns.

  • Assist in the management of vendor contracts, accounts payable, and accounts receivable functions.

  • Monitor and review daily transactions and ensure compliance with financial policies and procedures.

  • Provide administrative support to the management team, including preparing reports, documents, and correspondence as needed.

  • Help train and supervise office staff in day-to-day operations, ensuring efficient office workflow.

  • Perform other duties as assigned to support the smooth operation of the business office.

Qualifications:

  • High school diploma or equivalent required; Associate’s degree in Business Administration, Healthcare Administration, or a related field preferred.

  • Minimum of 2 years of experience in business office management, preferably in a healthcare or long-term care setting.

  • Strong knowledge of healthcare billing, coding, and insurance verification processes.

  • Proficiency in office software (Microsoft Office Suite, Excel, etc.) and electronic health record (EHR) systems.

  • Excellent organizational, communication, and problem-solving skills.

  • Ability to work in a fast-paced environment while maintaining attention to detail.

  • Strong interpersonal skills with the ability to work well with residents, families, staff, and external vendors.

  • Work Environment:

The Assistant Business Office Manager will work in a dynamic, healthcare-focused environment and will interact with residents, families, staff, and external parties regularly. The role requires both independent and team-based work, with an emphasis on providing excellent customer service and maintaining confidentiality.
