We’re looking for a resourceful and detail-oriented Executive Assistant / Office Coordinator to take on a pivotal dual-role position. You’ll be the backbone of the office, providing direct administrative support to senior leadership while ensuring seamless day-to-day operations. As the first point of contact for internal teams and external visitors, you’ll play a key role in maintaining a professional, well-organized, and welcoming workplace.
The ideal candidate is proactive, solutions-oriented, and thrives in a collaborative setting. You must have at least 2 years of administrative support and office coordination experience, strong attention to detail, and the ability to manage multiple priorities with ease.
Position Details :
Location : On-site in Chicago (Monday-Friday)
Type : Temp-to-hire
Hourly Pay (Temp Period) : $20-$25 / hour
Salary Upon Permanent Hire : $60,000-$65,000
Responsibilities :
- Manage senior leadership’s calendars, ensuring optimal time management
- Coordinate international and domestic travel arrangements
- Serve as the primary liaison for administrative services and external business contacts
- Process expense reports and payments in collaboration with the Finance team
- Oversee office technology inventory and distribute devices to new hires
- Keep the office environment professional, well-stocked, and running efficiently
- Handle general office duties : printing, booking meeting rooms, coordinating catering, liaising with vendors, and sorting mail
