Job Summary
This position is responsible for managing daily patient and physician scheduling using the Practice Management system. The ideal candidate will have excellent communication and organizational skills, as well as experience with electronic medical records and practice management software.
Key Responsibilities
- Schedule appointments to optimize patient satisfaction, provider time, and treatment room utilization.
- Confirm appointments and scan orders into the Electronic Medical Record (EMR).
- Assignments may be of a confidential manner and require judgment and discretion at all times.
Additional Duties
- Answer telephone calls and direct them to appropriate staff.
- Receive and route messages, correspondence, and administrative documents to the appropriate staff.
- Perform phone system/answering service functions.
- Manage the physician's Outlook calendar as needed.
- Greet visitors and patients.
- Perform patient check-in and check-out including full registration when necessary.
- Respond to patient, prospective patient, drug reps, and visitor inquiries in a courteous manner.
- Collect co-pays and outstanding balances.
- Obtain, record, and update personal and financial patient information and signatures.
- Maintain cash drawer, logs co-pays and other payments, reconciles balances, and may prepare and reconcile deposit slips.
- Verify referrals and perform pre-certifications as appropriate.
- Type, mail, fax correspondence as needed.
- Manage various work queues in EMR as needed.
- Order office supplies and maintain front office and reception area cleanliness.
Requirements
- High School Diploma or equivalent.
- One to three years' experience in Customer Service required.
- Medical office experience and 1-year prior scheduling experience preferred.
- Copier, fax, telephone system, postage equipment, and computer skills (Microsoft Outlook, Word, and Excel) required.
- Must be able to multi-task and maintain confidentiality.
Skills and Knowledge
- Strong verbal and social skills to facilitate working respectfully with patients, physicians, visitors, co-workers, and drug reps.
- Excellent customer service skills.
- Excellent computer skills in order to utilize Electronic Medical Records systems.
- Knowledge of health insurance coverage, requirements.
- Ability to make change if co-pays are collected.
- Analytical skills required to make decisions based on the facility and clinical situation at hand.
- Knowledge of and compliance with HIPAA privacy requirements.
