Job Description
Job Summary This is a part-time Admin Assistant position at the Weiser Idaho Seminary and Ontario Institute. This is a NON Benefitted position. With 15 to 17 hours a week for 10 months of the year. The Principal is looking for about 3 hours a day at the Weiser Seminary (8:00 to 11am) , with one evening a week (Tuesdays) at the Ontario Institute (6:30 to 9pm).
Purposes
The purpose of this role is to assist in the work of salvation and exaltation by providing individual contributor, entry level administrative support to one or more leader and/or one or more functional team or work group.
HRD employees are builders of capability within the Lord's talent storehouse who hasten the cause of the Master by drawing, enabling, and improving talent and by shaping the Church's work environment, which allows employees to give their best to the Lord. Performs administrative duties for a work group, department/area, manager or director. Prepares documents, reports, charts, and graphs. Maintains and updates calendars. Schedules and/or coordinates meetings. Makes travel arrangements. Creates and/or maintains filing systems. Reviews and distributes mail. Collects data and compiles information. Answers telephone and responds to routine calls/inquiries. Prepares correspondence. May perform data entry activities.
Responsibilities
40% Prepares documents, reports, charts, and graphs. Collects data and compiles information. Responds to changing priorities while supporting staff. Receives direct and detailed instruction on tasks to be performed.
40% Maintains and updates calendars. Schedules and/or coordinates meetings. Makes travel arrangements. Reviews and distributes mail. Answers telephone and responds to routine calls/inquiries.
20% Creates and/or maintains filing systems. May perform data entry activities.
Qualifications
Typically expected to have a High School diploma or equivalent plus two years of post high school education or training and one to four years of Secretarial or Administrative Assistant experience.
Basic office skills to include: simple research capabilities, knowledge of the operations and maintenance of standard office equipment, sufficient familiarity with standard office software to create or modify spreadsheets or word processing documents.

- Collecting data and compiling information.

- Using computer apps and software to schedule meetings and appointments and maintain calendars.
- Answering and screening telephone calls - forwards calls and takes messages as needed
- Receiving and sorting mail and correspondence
- Operating standard office equipment such as copy machines
- Ordering office supplies
- Maintaining office files
- Other duties as assigned
QUALIFICATIONS
- High School Diploma or equivalent
- Beginning to working administrative support knowledge
- Communicate professionally in writing and verbally.
- Utilize Microsoft Office and other software at a developing level to schedule appointments, modify spreadsheets, and update word documents.
- Operate and maintain standard office equipment.
- Problem solve and resolve basic conflict and problems
- Organize and prioritize work and needs
- Understand and follow instructions.
- Interact and work with others in a productive and professional way.
- Work with discretion, confidentiality, and integrity
- To successfully perform the essential functions of the job there may be physical requirements which need to be met such as sitting for long periods of time, moving about the office to deliver mail and other items, and using computer monitors/equipment.
