Job Summary:We are seeking a highly organized and motivated Event Coordinator to join our team. This role is essential in ensuring the seamless execution of weddings and special events. The ideal candidate is detail-oriented, experienced in managing staff, and passionate about the hospitality industry. This position requires a proactive leader who can oversee banquet operations, assist with service and bar management, communicate effectively with the kitchen, and ensure the overall success of each event while maintaining guest and staff safety. The Event Coordinator is responsible for ensuring the smooth conclusion of events, overseeing breakdown and cleanup, securing the venue, and ensuring that all post-event procedures are completed efficiently at the conclusion of each event. This role requires strong organizational skills, attention to detail, and the ability to manage vendors, staff, and logistics to ensure a seamless event and closing process.
Key Responsibilities:
- Event Execution: Oversee all aspects of event service, ensuring a smooth flow from setup to tear-down.
- Banquet & Service Oversight: Manage banquet staff, ensuring high-quality service standards are met.
- Venue Management: Oversee event setup and tear-down, ensuring all details align with the client’s vision.
- Customer Service: Provide excellent client and guest service, addressing any concerns professionally and efficiently.
- Staff Leadership: Train, guide, and manage event staff, ensuring they meet performance expectations.
- Supervise the breakdown of event setups, ensuring all equipment, decorations, and materials are properly removed or stored.
- Post-Event Reporting & Documentation
- Problem-Solving: Handle last-minute changes and challenges with a calm, solution-oriented approach.
- Responsible for overseeing setup and tear down throughout the week from banquet staff
- Responsible for maintaining inventory of tables, chairs, linens and rental decorations
- Responsible for posting social media posts from galleries of images we have available to us from photographers.
- Creating templates, logs, systems and post event reports
- Range of setting up for events and working with the event hosts in the morning, and closing events with tearing down the event, closing tabs and packing up bar etc. m
Qualifications & Skills:
- Experience in event coordination, banquet management, or hospitality.
- Strong leadership skills with experience managing staff.
- Exceptional attention to detail and organizational skills.
- Ability to work independently and take initiative.
- Strong communication and problem-solving abilities.
- Comfortable working in a fast-paced, high-pressure environment.
- Reliable, responsible, and punctual.

- Availability to work most weekends with a flexible schedule during the week.
