The Collection is seeking a highly skilled and experienced Facilities Director to oversee, manage, and ensure the smooth operation, safety, and maintenance of a multi-location luxury automotive dealership group. This position will be responsible for directing and mentoring the facilities team, establishing efficient maintenance practices, and maintaining the high standards of luxury brands at all dealership locations. The Facilities Director will play an active, hands-on role in both leadership and execution, ensuring that the facilities run smoothly while upholding safety and operational excellence.
Key Responsibilities
- Lead and manage the facilities team, including hiring, training, scheduling, and supervising staff.
- Provide ongoing guidance and support to the team, fostering a culture of safety, accountability, and efficiency.
- Develop, implement, and oversee preventative maintenance programs for various systems, such as mechanical, electrical, plumbing, and HVAC systems.
- Prioritize and schedule maintenance and repair tasks, ensuring minimal disruption to daily dealership operations by coordinating with internal teams and external service providers.
- Manage the procurement and inventory of equipment, materials, and supplies, such as lighting, filters, paint, and specialized cleaning products.
- Negotiate contracts with vendors for bulk purchases and work with executive management on RFPs and vendor contract renewals.
- Prepare detailed specifications and contracts for external services, including security, cleaning, and parking.
- Supervise and collaborate with contractors on major projects, including HVAC system overhauls and water intrusion prevention, in coordination with building management.
- Oversee and manage housekeeping, minor construction, and renovation projects, ensuring adherence to company standards, timelines, and budget.
- Develop and manage the facilities budget, tracking expenditures, identifying opportunities for cost efficiencies, and making strategic recommendations to management.
- Ensure compliance with health, safety, and environmental standards by developing and executing routine safety inspection programs across all locations.
- Maintain and ensure operational integrity of fire protection systems, emergency generators, elevators, and other critical systems through regular inspections and maintenance.
- Lead energy efficiency and sustainability initiatives, including the maintenance of HVAC chiller systems and collaboration with building management to optimize energy usage.
- Oversee routine maintenance tasks, managing vendor relationships and ensuring major repairs are handled swiftly and efficiently.
- Manage minor construction and renovation efforts, ensuring compliance with local codes and acquiring necessary permits as needed.
- Ensure the proper care and maintenance of high-end materials, such as marble, lacquered finishes, and other specialized surfaces, while maintaining proficiency in carpentry, plumbing, electrical work, and pest control.
- Conduct or coordinate ongoing training sessions for facilities staff to improve skills, maintenance techniques, safety practices, and overall efficiency.
Qualifications
- Minimum 5 years of facilities management experience in a commercial setting, with at least 2 years in a supervisory role. Experience in a luxury brand environment is highly preferred.
- Strong communication skills to collaborate effectively in various conditions.
- Bilingual, English and Spanish.
- Strong knowledge of facility engineering principles, including HVAC systems, plumbing, electrical, and general construction.
- Excellent organizational and time management skills, budget management experience, and strong communication skills for working with vendors, contractors, and internal teams.
- Proficiency with computers.
- Ability to multitask and manage conflicting priorities.
- Capable of working in a fast-paced, outdoor environment.
- Valid driver’s license.
- Safety certifications are a plus.
Physical Demands
- Primarily based on-site across multiple dealership locations, with exposure to both indoor and outdoor environments.
- Ability to stand for long periods and endure outdoor exposure.
- This is a physically active role requiring the ability to lift and carry up to 50 pounds, climb ladders, operate machinery, and work in a variety of conditions including confined spaces, heights, and exposure to outdoor elements.
- Must wear safety equipment as required for specific tasks.
