CRM Specialist/Data Analyst

The College of Westchester, an Associate degree- and Baccalaureate degree-granting college, is seeking a full-time CRM Specialist/Data Analyst, to work in our Admissions department. The CRM Specialist/Data Analyst manages all admissions data and systems and will act as the expert on CRM systems designed for higher education, with a focus on optimizing the admissions processes and creating effective user/student experiences. This position is responsible for managing data flow/reporting/security, administering/integrating systems, and maintaining tools and applications related to admissions, document management, and communication workflows. The CRM Specialist/Data Analyst will work closely with the Enrollment Management and IT teams, campus stakeholders, and cross-functional teams to support the college's strategic enrollment objectives and contribute to strategic projects.

QUALIFICATIONS:

· Bachelor’s degree in Business, Management Information Systems, Data Analytics or a related field.

· A minimum of 3 years of experience in CRM administration and analysis is required.

· Proficiency in CRM software (e.g., Salesforce, Microsoft Dynamics, HubSpot, Element 451, Verity).

· A strong analytical ability to interpret intricate data and experience using data analysis tools such as Excel, SQL, and BI tools.

· Excellent communication, interpersonal, and customer service skills, with the ability to work collaboratively across departments.

· Exceptional project management skills, with the capacity to prioritize tasks and manage multiple projects simultaneously with an emphasis on cross-functional projects.

· Ability to work independently and as part of a team.

· Familiarity with the higher education sector and market is advantageous.

· Must be able to work some evening and Saturday hours.

· Energetic, proactive, and able to think on your feet while maintaining a positive attitude.

· Adaptability and capacity to thrive in a dynamic and rapid-paced setting.

PREFERRED QUALIFICATIONS:

· Experience in higher education admissions or a related field.

· Project Management certification or experience.

· Familiarity with SQL, database management, and reporting tools.

· Possess robust technology skills, including proficiency in Windows, Microsoft Office Suite, Google Suite, web-based platforms, and UI/UX design.

DUTIES AND RESPONSIBILITIES:

  • Admission Systems Coordination

o Oversee the daily operations of the admissions systems, ensuring data integrity, security and system functionality while acting as the primary internal liaison.

o Develop and maintain documentation for system processes and procedures.

o Provide training and support to staff on systems use and best practices.

o Ensure that the college follows all federal and state laws regarding enrollment and recruitment processes and communication.

  • CRM Administration

o Manage, maintain, and optimize the CRM system to enhance the admissions process and improve user/student experience and conversion rates.

o Collaborate with the internal teams to implement targeted recruitment campaigns based on CRM data.

o Ensure data integrity, security, and compliance with relevant regulations.

o Develop and execute processes for the entry of inquiry data from disparate sources with a keen eye towards automation.

o Manage user accounts, permissions, and access controls.

o Provide training and support to staff on system use and best practices.

  • Data Analysis and Reporting

o Analyze data to identify trends, insights, and opportunities for improvement.

o Develop and maintain dashboards and reports to support business decision-making related to enrollment strategy and goals.

o Provide actionable recommendations based on data analysis.

o Work in unison with the technology team to develop stringent testing protocols and data validation methods.

  • Process Optimization

o Collaborate with cross-functional teams to streamline and optimize CRM-related processes.

o Implement best practices for data management and prospect engagement.

o Lead initiatives to improve CRM system functionality and user experience.

  • Project Management

o Lead and coordinate projects related to admissions systems and CRM initiatives, encompassing all phases from planning through implementation.

o Develop project plans, timelines, and deliverables, ensuring projects stay on track and within scope.

o Communicate project progress and updates to stakeholders regularly ensuring alignment with institutional goals.

o Identify and mitigate project risks, ensuring successful project completion.

  • General

o Continuously examine and evaluate all operations and programs to find efficiencies and savings for The College.

o Help maintain the integrity and security of admissions, marketing and financial aid data.

o Ensure qualitative and quantitative objectives are achieved throughout the admissions process.

o Understand, maintain, adhere to, and comply with all applicable corporate, state, federal and accreditation policies for admissions.

  • Professional Development

o Attend conferences, workshops, and meetings, as requested, to stay updated on enrollment services and CRM system best practices.

o Participate in staff development activities and committees as needed.

o Uphold and model the CW Way philosophy in all interactions.

o Maintain the highest standards of quality and compliance in all aspects of operations.

Pay: $64,500.00 - $75,000.00 per year
