POSITION SUMMARY

The Administrative Assistant provides administrative and operational support to the General Manager, Music / Band Director, and staff as assigned. The Admin Assistant is responsible for leading the day-to-day administrative tasks at Soundcheck Rock Academy, including phone reception, word processing, data entry, filing, market research, and other administrative tasks. The Admin Assistant provides a positive first impression for potential and existing customers, fields calls from customers, schedules appointments, and coordinates community and school events. PRIMARY DUTIES AND RESPONSIBILITIES

Production and Development Support

  • Assist the General Manager in administrative tasks as required, such as monitoring needs and requests of our community.
  • Filing paperwork.
  • Schedule lessons, trial lessons, and tours.
  • Manage CRM system for complete schedule and customer requests.
  • Utilize Opus1.io for complete up-to-date notes, attendance, and assistance to instructors and staff.
  • Maintain events calendar for the General Manager as directed and perform related tasks, including calendar items and media inquiries in a timely fashion.
  • Assist the General Manager in marketing, planning, and executing quarterly shows and various shows and festivals throughout the year.
  • Participate in organizational events as assigned.
  • Administrative Support

  • Support day-to-day operations, including but not limited to routine office functions, ensuring that assignments are completed accurately and timely.
  • Respond to telephone, e-mail, and web-based inquiries promptly and professionally for the office and the General Manager.
  • Process incoming mail daily; record contributed income.
  • Maintain hard copy and electronic files to ensure accessibility and provide documentation of operational functions and administrative actions, as assigned.
  • Monitor office supplies and equipment functions and report requirements to the General Manager promptly to ensure operational efficiency.
  • Assist the Music / Band Director in coordinating volunteer and intern schedules.
  • Support performance production needs under the supervision of the Music / Band Programs Manager and General Manager in areas of stagecraft as assigned.
  • REQUIRED KNOWLEDGE AND ABILITIES

    Education : High school diploma minimum with marketing training; degree in business administration, communication, marketing, music, or arts management a plus.

    Experience and Knowledge : 1-2 years of professional experience in communications, office management, arts operations, or other non-profit environments involving significant public contact is required. Proficiency in Google Office Suite and basic web experience is highly desirable. Background in performing arts, knowledge of CRM systems, and the ability to read music are a plus.

  • Ability to concentrate in a small office environment, near meetings, conversations, music lessons, band rehearsals, and interruptions.
  • Ability to sit for long periods and work at close vision.
  • Ability to lift up to 25 pounds.
