Essential Job Functions
- Ensures a clean and well-maintained office environment, assigns office spaces, and oversees equipment and furniture needs.
- Supervises daily activity of the Environmental Services Attendant.
- Maintains and updates St. Gabriel’s office/floorplan for operational accuracy.
- Facilitate and coordinate major office moves, including technology, furniture, and workspace transitions.
- Coordinates and communicates major technology events (e.g., printer deployments, laptop replacements, hardware upgrades).
- Leads and facilitates Norwood management oversight meetings.
- Manages mail distribution, office supplies, and inventory.
- Oversee document storage systems, including the development and facilitation of an efficient storage process in collaboration with vendors and management personnel.
- Manage and oversee the electronic fax system.
- Serves as a point of contact for technical issues, coordinates with IT for network access, and oversees office machinery maintenance.
- Oversees building security systems, including access for employees.
- Manages the Norwood Outlook calendar for meetings and scheduling.
- Schedules conference rooms, supports planning for staff events, and ensures smooth operations during special events.
- Acts as primary liaison for Christopher Footprints Child Care Center and St. Gabriel’s Parish regarding shared parking and special events.
- Maintains master phone contact lists, oversees kitchen maintenance, and assists with employee job coach support.
- Other duties assigned by Administrator and senior leadership.
Knowledge/Skills/Abilities

- High school diploma or equivalent required; Associate degree preferred.
- Prior office and management experience are highly preferred.
- Strong organizational, time management, and communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in Microsoft Office programs with the ability to learn additional programs as needed.
- Basic understanding of IT hardware and troubleshooting.
- Ability to successfully pass and maintain acceptable background checks – FBI, PA Child Abuse, and PA State Police Criminal History.
Supervisory Responsibilities:
This position directly supervises the Environmental Services Attendant for St. Gabriel’s office.
Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations.
Work Environment:
While performing the duties of this job, the employee will be required to work in a variety of settings and environments and has a low exposure risk to adverse weather conditions.
The noise level in the work environment is usually moderate.
Generally works in standard office conditions and climate.
Works in a fast-paced environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
Physical Demands:
The employee must regularly lift and /or move up to 10 pounds, occasionally lift and/or move up to 30 pounds.
Specific vision abilities required by this job include Close vision, Distance vision, Peripheral vision, Depth perception and Ability to adjust focus.
While performing the duties of this job, the employee is regularly required to stand for extended periods of time; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to walk and sit.
