JOB HIGHLIGHTS
We are seeking a highly organized and proactive office manager and coordinator to support our regional real estate team. The ideal candidate will be adept at managing administrative duties, supporting program and project operations, and capable of handling complex schedules and confidential matters with discretion and professionalism.

Administrative
- Provide comprehensive support to the Regional VP and other team members, managing complicated calendars, scheduling appointments, managing expense reports, and coordinating meetings, conferences, and travel arrangements.
- Function as a liaison between the Regional VP, Regional Real Estate Manager, and other real estate and programmatic teams, managing sensitive information with discretion.
- Provide meeting support including logistical and technical set up, note taking, and document preparation for various programs in the Central Southeast Region.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Provide research support, as requested.
- Manage deadlines around annual budget planning and strategic goals tracking and metrics.
- Support and help manage regional onboarding of conservation staff and contractors.
- Manage files for Central Southeast region and Farms Fund program, utilizing SharePoint and OneDrive.
- Manage maintenance and purchase of office supplies, equipment, and furniture.
- Manage office technology, including printers, internet, phone, and others.
- Receive and interact with visitors, answer, and manage incoming calls.
- Assist in financial management tasks, including managing accounts payable and receivable, invoice reports, and tracking budget spreadsheets.
- Assist in development and communications efforts, including creating outreach materials, coordinating site tours, and updating web content.
- Organize and assist in coordination of site tours, event planning, and trainings for Farms Fund and Central Southeast Region.
Real Estate Support
- Coordinate real estate meetings for Central Southeast team.
- Assist with preparing project evaluation forms, project number requests and board resolution requests, including all supporting materials, for Central Southeast real estate acquisitions and for Farms Fund acquisitions.
- Assist in coordinating property monitoring and completion of property monitoring reports for all properties held by Central Southeast Region.
- Coordinate with Legal and Finance teams on payment of taxes or other associated maintenance and costs on any properties held by the Central Southeast Region or Farms Fund.
- Address any property notifications and necessary resolutions, such as code enforcement, on properties held by the Central Southeast Region or Farms Fund.
- Assist Marketing staff with tracking and updating web and other media content for the Central Southeast region and Farms Fund pages of The Conservation Fund’s website.
WHAT WE NEED YOU TO HAVE
- Proven experience as an executive assistant or in other administrative positions for at least 3 years.
- Full comprehension of office management systems and procedures.
- Proficient with Word, Excel, PowerPoint, Outlook and office management software (Asana, Salesforce).
- Exemplary planning and time management skills.
- Ability to multitask and prioritize daily workload.
- Excellent verbal, written, organizational and interpersonal skills.
- Discretion and confidentiality.
- Commitment to the mission of The Conservation Fund.
WHAT WE’D LIKE YOU TO HAVE
- Bachelor’s degree in business administration, communications, or related field.
- Certification as an Administrative Professional (CAP).
- 2-4 years of experience in basic Salesforce administration and reporting.
- Expertise in using Asana or other project management software.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Strong problem solving and decision-making capabilities.
- Ability to work under pressure and to tight deadlines.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- Some lifting and carrying will be necessary – up to 20 pounds.
- Work is performed an office setting.
COMPENSATION AND BENEFITS
The salary range for this position is $55,000 - $60,000, and the position is eligible for opportunities to earn performance-based bonus compensation. Please note: Salary range provided is an estimate and will be evaluated on an individual basis, taking into consideration the candidate's knowledge, skills, abilities, experience, and education. The final salary offer will be determined accordingly.
