Resident Services Coordinator
The Copley Group, Boston-based property management company, is seeking a Resident Services Coordinator to join its property management team and contribute to its customer-centric approach.
A successful candidate will have excellent written and verbal communication skills, a strong administrative or customer service background, the ability to multi-task and problem solve, and will be a team player who can think critically and collaboratively.
Position Details:
The Resident Services Coordinator is the primary point of contact for all resident inquiries and work orders. This role is responsible for communicating all maintenance related work and partnering with the service team to ensure resident satisfaction is exceeding expectations. The Resident Services Coordinator reports to the Property Manager. This is a Monday-Friday 8:30 am-5:00 pm in person position, reporting to our Fenway area office daily. Full benefits plus 401k plan are available.
Position details include but are not limited to:
- Answer phones, greet people, field resident relation matters and escalate them accordingly
- Assist and coordinate with Property Manager and maintenance staff
- Assist Property Manager with conflict/resolution matters.
- Create work orders for maintenance - work orders come in through calls, e-mails, renewal requests, annual surveys, and property managers
- Schedule work with residents via email and phone
- Navigate multiple systems such as the ButterflyMX door entry system, Entrata, Yardi, and key fob activation
- Help arrange key pick up times with new move-ins and hand out keys on the 1st of every month
- Order/replenish office supplies
- Draft notices/letters/memos to residents regarding delinquent accounts, noise complaints, building repairs, etc.
Qualifications:
- Previous experience in real estate and/or customer service
- Knowledge of Property Management or a desire to learn about and grow in the field
- Must have excellent written and verbal communication skills
- Must be able to multi-task, problem solve, and stay calm in stressful/face paced situations
- Knowledge of Microsoft office software is required
- Experience with Entrata software is a plus
- Above all else, the successful candidate should be a friendly "people" person with the ability to work as part of a team
