COHO Integrated Solutions is seeking a Transition Records Support Specialist to assist with overseeing the preparation and management of records for Soldiers transitioning out of the GAARNG. This includes ensuring that all documentation is complete, accurate, and compliant with regulations. The specialist serves as a subject matter expert on transition records and is instrumental in coordinating the secure retrieval and distribution of personnel and medical records to various agencies, including the Department of Veterans Affairs (DVA). The role requires knowledge of military record systems, attention to detail, and the ability to handle sensitive information. The position is located in Marietta, GA.
Key Responsibilities:
- Manage, process, and review separation orders, NGB Form 22 or DD 214-1, retirement awards, RPAM corrections, and reduced age retirements for departing Soldiers.
- Generate Retirement Certificates for state-level retirement ceremonies.
- Conduct retirement briefings during quarterly Transition Seminars, with limited travel required.
- Support the production of the final NGB 22/DD 214-1 for retiring Soldiers, providing quality assurance checks for other retirement records.
- Serve as a subject matter expert and advisor for all retirement and transition records.
- Utilize the Interactive Personnel Electronic Records Management System (iPERMS) to retrieve personnel records.
- Collaborate with the Department of Veterans Affairs (DVA) and the GAARNG Medical Command to provide required medical and personnel records.
- Address inquiries from the DVA and transitioning Soldiers, resolving sensitive questions related to records.
- Coordinate, monitor, and provide support for research programs related to Soldier records.
- Manage the receipt and distribution of postal items and internal organizational communications.
- Utilize the Health Readiness Records (HRR) database for efficient retrieval of medical records.
- Facilitate the secure retrieval and distribution of medical and personnel records.
- Utilize the Safe Access File Exchange (SAFE) system for the electronic submission of requested records to the DVA.
- Maintain an updated records tracker on an Excel workbook, capturing records request data.
- Update supporting documents and records with copied medical and personnel data.
- Design and implement effective methods for collecting, analyzing, storing, retrieving, and reporting medical and personnel records in accordance with Federal, state, and local laws.
- Conduct inspections of records to ensure completeness, internal consistency, and data accuracy.
- Assist in planning and implementing new programs for secure electronic records transmission, adhering to HIPAA standards.
- Ensure compliance with HIPAA regulations for all release of information requests.
- Execute various coordination and administrative support functions, such as researching information, compiling data, preparing reports, and providing responsive customer service.
- Ensure meticulous updates to Soldiers' records, including finalizing documents and ensuring accurate entry into the system.
Required Qualifications:
- Proficiency in military record systems, including iPERMS and HRR databases.
- Strong understanding of military personnel documentation and the transition process.
- Knowledge of HIPAA regulations and secure records handling.
- Excellent attention to detail and ability to manage sensitive data.
- Strong communication and customer service skills to address inquiries and provide guidance to transitioning Soldiers.
- Ability to collaborate with other agencies, including the DVA and GAARNG Medical Command, to ensure proper record management.
- Ability to work independently and manage multiple tasks simultaneously.
- Proficiency with Microsoft Office applications, particularly Excel for tracking and reporting purposes.
- Experience in conducting briefings and providing training or support for transitioning Soldiers.
- DOD Secret Clearance or the ability to obtain one.
