NOTICE:
- MUST LIVE IN THE CLEVELAND, OHIO METRO AREA. This position is NOT fully remote.
- Will primarily work from home, and travel within the Cleveland, Ohio metro area to assigned properties and the corporate office as business needs dictate (up to 50% of each work week).
- 3 years administrative, customer service, and property management experience required...specifically association management (HOA/COA) highly preferred.
- MUST complete both really assessments for consideration.
- Regular work schedule is Monday - Friday, 8:30a-5:00p with an unpaid hour for lunch = 37.5 hour work week.
- Salary, exempt. $50,000-55,000 dependent upon experience with the following benefits available....medical, dental, vision, life & disability insurance (employer paid), voluntary life ins., AFLAC, 401k, ample time-off (personal & vacation), and paid holidays. Benefit eligibility waiting periods are applicable.
- Reliable home Internet access and dedicated work space required.
- This position supports a director of property management with a large portfolio of association communities.
Overview
In accordance with The Coral Company practices, policies, and standards, the Assistant Property Manager provides administrative support to the Director of Property Management, including assisting in the day-to-day operations of a portfolio of condominium and homeowners association clients. The Assistant Property Manager is responsible for ensuring that all administrative support tasks assigned are completed in a timely, accurate, and professional manner.
The Assistant Property Manager executes duties with the highest regard for exceptional performance, operational functions, & the best interests of the Company. The Assistant Property Manager also bears responsibility for the team’s efforts to maximize productivity, efficiency, creativity, strategic problem solving, and customer service.
Areas of Responsibility:
- Provide administrative support to the Director of Property Management.
- Provide exceptional customer service to residents. Respond to all phone calls, messages, and emails promptly and professionally, and follow up on work orders to ensure customer satisfaction. Provide 24/7 emergency availability on occasion, as assigned. Timely communication with vendors, clients, and fellow team members.
- Conduct periodic inspections of the assigned properties to ensure resident compliance, property upkeep, and vendor project completion. Meet vendors on site to provide access and detail for obtaining bid proposals.
- Become proficient with the AppFolio property management accounting software, including updating resident contact information, communicating electronically and via mail service, posting payments and processing late fees, uploading invoices, and document storage organization.
- Draft/ proofread and distribute community notices, newsletters, individual resident letters, meeting minutes, etc.
- Document management, high level organization, and upkeep of electronic filing system.
- Manage property work orders including obtaining vendor proposals.
- Attend client meetings (virtually and in person) which may take place outside of normal business hours.
- Perform other property management responsibilities & follow-up duties as assigned.
Skills, Experience, and Personal Characteristics
- High level computer literacy, including primarily with MS Outlook, Excel and Word. Publisher and PowerPoint a plus. Strong working knowledge of general office equipment and clerical tasks.
- Experience with AppFolio or similar preferred.
- Familiarity with Association management and basic building systems strongly preferred.
- Strong organization, priority setting, and time management skills.
