Job Description:
The Country Sweep is seeking a highly motivated and detail-oriented Office Manager to join our team. The ideal candidate will be a professional with exceptional phone etiquette, outstanding organizational skills, and a keen eye for detail. Prior experience in the home service industry is a significant advantage.
Key Responsibilities:
- Phone Management: Answer and manage incoming calls with professionalism, ensuring a positive first impression and delivering excellent customer service.
- Scheduling and Coordination: Organize and maintain calendars, schedule appointments, and coordinate with staff to ensure efficient workflow.
- Administrative Support: Manage office operations, including filing, data entry, supply ordering, and maintaining office equipment.
- Customer Interaction: Act as the primary point of contact for clients, addressing inquiries and resolving concerns promptly and courteously.
- Billing and Invoicing: Oversee and process invoices, payments, and other basic accounting functions with accuracy and attention to detail.
- Team Support: Provide administrative support to team members, ensuring smooth communication and operations between the office and field.
- Office Organization: Maintain an orderly office environment, including physical and digital filing systems.
- Reporting: Generate regular reports on office activities, client communications, and project statuses.
Experience:
- Proven experience in office management or a similar role
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and the Google Suite (Sheets, Docs)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Ability to multitask and work well under pressure
- Ability to handle sensitive information in a confidential manner
- Knowledge of phone etiquette and professional communication practices
- Experience with QuickBooks Online a plus
