WAGE RANGE: $33.40 - $40.10 per hour

Position Summary:
Monitors and ensures seamless operations and provides comprehensive support to Behavioral Health services and the Administrative Supervisor. Acts as a resource for other administrative staff and is familiar with roles and responsibilities of all administrative positions and procedures. Maintains high standards in patient registration and scheduling accuracy. Demonstrates strong attention to detail and expertise in health insurance and billing practices. Is responsible for providing support across two locations, with occasional travel for meetings, events, and site support. Maintains professionalism in all interactions with internal and external stakeholders. Adheres to HIPAA and confidentiality requirements. Honors and represents the mission, vision, and values of the Cowlitz Indian Tribe (CIT) and of the Cowlitz Tribal Health and Human Services department.

Essential Duties & Responsibilities:
- Assists in monitoring daily administrative operations to support efficient workflow.
- Fills in for administrative staff when they are out of the office.
- Maintains extensive knowledge of health insurance and billing policies to assist clients effectively.
- Ensures the quality and accuracy of patient registration and scheduling data within the system.
- Facilitates clear communication among administrative staff and serves as a liaison to enhance collaboration.
- Supports the Administrative Supervisor in training new and existing administrative staff on processes and procedures.
- Assists clients with the registration process, eligibility screening, and preparation for access to services.
- Performs data entry and verification to support high standards of data quality in patient records.
- Assists clients with benefit applications as a Tribal Assister and coordinates care with external providers as needed.
- Maintains consistent documentation of client interactions within the electronic health record system.
- Performs additional tasks as assigned to support the Administrative Supervisor and behavioral health program goals.
Knowledge, Skills, and Abilities:
- In-depth knowledge of health insurance requirements, patient registration, and front-office procedures in a healthcare setting.
- Strong organizational and detail-oriented skills for maintaining data quality.
- Proficiency in electronic health systems and software for data entry and record-keeping.
- Ability to adapt to evolving protocols, work independently, and contribute to a collaborative team environment.
- Knowledge of traditional form of government and tribal customs and traditions.
- Knowledge of proper spelling, grammar, punctuation, and basic arithmetic.
- Knowledge of basic medical terminology preferred.
- Knowledge of policies and procedures related to HIPAA, Medicare, Medicaid, and insurance programs.
- Skill in operating various word-processing, spreadsheet and database software programs in a Windows environment.
- Ability to establish and maintain professional relationships and contribute to the creation of an inclusive environment.
- Ability to handle multiple tasks and meet deadlines.
Minimum Qualifications:
- Associate degree or three years related high-level administrative experience required.
- A combination of relevant education and related work experience may be considered.
- Valid drivers license is required when driving vehicles for work-related purposes.
- Experience working within American Indian and/or Alaska Native communities preferred.
- Must be able to successfully pass a background screening investigation according to the established requirements below.
Tribal preference in accordance with Cowlitz Indian Tribe Code and CIT Employee Policies and Procedures Handbook shall apply to all positions. All positions are required to adhere to CITs established safety policies regarding vaccine requirements and personal protective equipment (PPE).

Physical Demands:
While performing the duties of this job, the employee regularly is required to sit, stand, use hands and fingers for a variety of tasks, talk, and hear. The employee occasionally is required to walk and reach with hands and arms. The employee is occasionally required to lift up to 20lbs. Specific vision abilities required by this job include close vision and clarity of vision at long distance.
Work Environment:
Work is generally performed in an office/clinical setting with a moderate noise level. Employee may be exposed to bodily fluids, blood borne pathogens and infectious disease. Situations occur where PPE (personal protective equipment) is needed. Evening and/or weekend work may be required. Tight time constraints and multiple demands are common.
