POSITION SUMMARY
The Executive Assistant plays a crucial role in supporting the operations of The Culpeper, assisting both the Executive Director and the Administrator. This position requires a commitment to confidentiality regarding resident and team member information, while maintaining a positive and professional representation of The Culpeper at all times.
ESSENTIAL JOB FUNCTIONS
- Coordinate the completion of facility licensure applications and facilitate communication with residents and families. Provide requested data for the Executive Director or Administrator of Health Services.
- Review and respond to routine correspondence.
- Answer phone calls, take accurate messages, and forward emails to the Executive Director and Administrator of Health Services as needed.
- Serve as recorder at meetings and prepare meeting minutes when necessary.
- Maintain and update the Health Services and Resident Services Master Policy Manuals and Survey Boxes, following guidance from the Executive Director or Administrator of Health Services.
- Ensure facility provider files are up-to-date, including verifying that Certificates of Insurance, certifications, and licenses are current according to regulations and community policies. Purge and store files as required.
- Maintain confidentiality of all resident-related information and administrative office activities.
- Assist with special projects and generate reports as requested by the Executive Director and Administrator of Health Services.
- Support the onboarding and orientation of new team members, including entering training data into Relias and managing CPR scheduling and tracking.
- Oversee the maintenance of the Administrative Workroom, ensuring the proper functioning of copy, fax, and postage machines. Coordinate service scheduling and order necessary supplies.
- As an “essential employee,” specific duties will be assigned during disaster events.
- Perform other duties as assigned.
GENERAL QUALIFICATIONS
- 3-5 years of administrative support experience preferred.
- Strong communication skills, with the ability to interact effectively with residents, their families, team members, and the public.
- Proficient in computer applications, with the ability to learn and adapt to new technologies.
- Ability to work independently with minimal supervision and manage multiple tasks simultaneously.
- High attention to detail, excellent time management, and organizational skills.
- Ability to prioritize and manage a heavy workload efficiently.
- Flexibility to adjust to changing schedules and assignments.
- Capable of remaining calm and composed in stressful situations.
- Proficient in grammar and spelling.
