Overview
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong communication skills, proficiency in various computer applications, and the ability to manage multiple tasks efficiently. The Administrative Coordinator will serve as a key point of contact for both internal and external stakeholders, contributing to a positive and productive work environment.

Responsibilities

  • Provide comprehensive administrative support to management and staff, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Serve as the first point of contact for visitors and clients, ensuring a welcoming front desk experience.
  • Handle incoming calls and correspondence, responding to inquiries and directing them to the appropriate personnel.
  • Maintain organized filing systems, both electronic and paper-based, ensuring easy access to important documents.
  • Assist with customer service inquiries, providing timely and accurate information to enhance client satisfaction.
  • Support office operations by ordering supplies, managing inventory, and coordinating maintenance requests.
  • Collaborate with team members on special projects and initiatives as needed.
  • Utilize computer software for data entry, reporting, and communication purposes.

Experience

  • Proven experience in an administrative role or similar position is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Quickbooks, and other relevant software applications.
  • Excellent customer service skills with the ability to communicate effectively with diverse populations.
  • Experience as a personal assistant or medical receptionist is a plus.
  • Bilingual candidates are encouraged to apply as this will enhance our customer support capabilities.
  • Familiarity with office procedures and front desk operations is essential.
  • Ability to work independently while also being an effective team player.
