Brokerage Coordinator

Our client, a commercial real estate brokerage firm, is seeking a Brokerage Coordinator to
provide comprehensive marketing and transaction support to their brokerage team. This role is essential for ensuring smooth operations, effective marketing strategies, and efficient transaction processes. The ideal candidate is detail-oriented, organized, and capable of managing multiple projects across the marketing, operations, and transaction support functions.
Responsibilities:
- Develop and design marketing materials, including property brochures, flyers, proposals, and presentations.
- Manage digital marketing campaigns, including email marketing, social media, and website content updates.
- Coordinate with external vendors for printing, signage, photography, and other marketing needs.
- Maintain property listings on commercial real estate platforms and the company website.
- Assist brokers with transaction management, including preparing contracts, lease agreements, and other legal documents.
- Track key transaction milestones and ensure all deadlines are met.
- Organize and maintain transaction files and documentation for compliance purposes.
- Facilitate communication between all parties involved in transactions, including clients, attorneys, and other stakeholders.
- Provide administrative support to brokers, including calendar management, meeting coordination, and travel arrangements.
- Prepare reports, market analyses, and other documentation as needed.
- Support office operations, including supply management and vendor coordination.
Requirements:
- High school diploma
- 3 years of experience in a support role within commercial real estate brokerage industry
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Marketing software experience (e.g., Adobe InDesign, Canva) preferred
- Experience with CRM systems and commercial real estate databases (e.g., CoStar, LoopNet) preferred
- Excellent organizational, communication, and interpersonal skills
- Ability to manage multiple priorities and work independently in a fast-paced environment
- Office environment with occasional travel for meetings, property tours, or events
- Flexibility required to meet deadlines
- Hold a valid Texas driver’s license and have the ability to drive a motor vehicle
