Overview:
We are seeking an experienced and detail-oriented Administrative Assistant to join our team. The ideal candidate will have high integrity and strong organizational skills to manage sensitive and confidential information. This part-time position offers flexible hours and the opportunity to contribute to the smooth operation of our medical practice.
The ENT Center’s Administrative Department is made up of the Administrator, Administrative Assistant (this position), and a bookkeeper/accounts payable clerk. The Administrator takes the lead on new initiatives related to payroll and benefits, and the Administrative Assistant helps with the implementation, data entry, coordination with employees. We do not run our own payroll. We use an outside company and their software platform to enter in employee data, changes, etc. Our benefits are managed through a hands-on broker, and the various insurance vendor website platforms. Our provider credentialing is primarily related to those with hospital privileges, membership in a local network, Medicare and Medicaid. Tasks related require proper application submission and tracking as well as assisting providers in maintaining appropriate licensure.
Key Responsibilities:
Payroll/Timekeeping Management: Maintain Employee Payroll Records and Report to outside vendor for processing.
Provider Credentialing: Maintain up-to-date credentialing for all providers.
Employee HR Administration: Responsible for on/off boarding, benefits enrollment, updates, and communications.
Data Entry: Ensure accurate and confidential data entry and record-keeping across benefit platforms.
Assist Administrator with varied tasks for the practice, including scheduling of meetings, some errands, etc.
Coordinate planning occasional employee events with staff volunteers and Administrator.
Qualifications:
Proven experience in similar role, HR related preferred.
Strong proficiency in data entry with attention to detail and accuracy.
Demonstrated ability to handle sensitive and confidential information with discretion.
Excellent organizational and time-management skills.
Proficiency in Microsoft Office (Excel, Word, Outlook) and related software.
Strong interpersonal skills and a commitment to professionalism and integrity.
