JOB SUMMARY:
The Front Desk Coordinator is the first point of contact for our patients and plays a critical role in creating a positive and welcoming experience. This position is responsible for managing the day-to-day front desk operations, including scheduling appointments, handling patient check-in/check-out, answering phones, and addressing patient inquiries and concerns. The ideal candidate will have excellent customer service skills, strong attention to detail, and the ability to work well in a fast-paced environment.
KEY RESPONSIBILITIES:
- Manage the front desk area, ensuring a clean, organized, and welcoming environment for patients
- Schedule, reschedule, and cancel appointments as necessary
- Greet patients upon arrival, check them in for their appointments, and manage the patient flow
- Handle patient check-out process, including scheduling follow-up appointments and processing payments
- Answer and direct phone calls, take messages, and respond to patient inquiries
- Provide patients with information on services, treatments, packages, and retail products
- Promote the spa, services, packages, and retail products to patients
- Maintain accurate and up-to-date patient records
- Manage inventory of front desk supplies and notify management when restocking is needed
- Assist patients with retail purchases as needed
- Support other areas of the spa operation as requested by management
- Maintain confidentiality in all patient matters
- Participate in training and staff meetings as required
REQUIREMENTS:
- 1-2 years of experience in a front desk or customer service role
- Excellent communication and customer service skills
- Ability to work well in a fast-paced environment
- Strong attention to detail and organizational skills
- Proficiency with spa booking software
- Ability to maintain confidentiality
- High school diploma or equivalent required
PREFERRED QUALIFICATIONS:
- Experience in a medical spa or healthcare setting
- Knowledge of cosmetic services and products
WORKING CONDITIONS:
- The Front Desk Coordinator will work in a fast-paced office environment
- May be required to sit or stand for extended periods
- May be required to lift up to 25lbs
- Must be able to multitask and prioritize duties effectively
LOCATIONS:
- Primary location is in Cranberry, PA: 213 Executive drive/Suite 340/Cranberry TWP, PA 16066
- The secondary location for this position will be at the McMurray, PA location.
- This candidate will be required to work at either location based on need.
HOURS/DAYS:
- Working hours will include 9AM-7PM Monday-Friday & 10AM-4PM on Saturdays.
Job Type: Full-time
Pay: $17.50 - $19.50 per hour
