2025 Schedule:

Shift 1: Tuesday: 9am-5pm; Wednesday: 9am-2pm

Shift 2: Wednesday: 2pm-7pm; Saturday: Alternate 10am-2pm and 2pm-7pm

Our founder is one of Oklahoma’s leading permanent makeup artists with over 16 years of experience and 15,000 procedures. Her mother is an award-winning, celebrity esthetician with unparalleled techniques for minimal aging and is the inspiration for our facials. Sharing their experience, they have created an expert team of estheticians and permanent makeup artists to create your dream brows, eyeliner, lips and to deliver radiant skin. Our goal is to empower every client to look and feel like their best self. Nothing gives us greater joy than seeing our clients feel incredible and confident in their skin!

Compensation:

$13-$15 /hr plus 10% retail commission and 10 - 18% permanent jewelry commission from your sales.

Job Objective

The Lounge Coordinator is the face of The Facial Lounge OKC, and customer service is their calling. They are the front line in setting the tone for each client’s experience with a warm smile and personalized greeting. With this in mind, the Lounge Coordinator should always strive to be perceived as professional, friendly and knowledgeable.

The Lounge coordinator is meticulous and organized in booking appointments and keeping the Lounge running like clockwork. They must be a conscientious and effective communicator to serve as the liaison between clients and staff, relaying messages and answering client questions with clarity and confidence. They value teamwork and strive for excellence for the business as a whole.

The Lounge Coordinator should take pride in providing a neat and welcoming environment. They are proactive about keeping up with their daily duties, stocking and tidying regularly so the lounge always feels “freshly reset.”

The Lounge Coordinator is dedicated to 5 star customer service every day, and to making every client feel like a VIP. No matter how they feel or what kind of day they are having, the Lounge Coordinator is able to tune in to this vision and stay committed to ensuring our clients have the perfect experience from the second the client enters the Lounge to the moment they leave.

Responsibilities

Administrative Expertise

  • Answer phones with enthusiasm using our signature greeting.
  • Book appointments, record essential client details and include pertinent notes for the service provider.
  • Facilitate rebooking of appointments
  • Approve appointment requests
  • Accurately record and promptly deliver all messages to staff.
  • Leave mail, invoices, printouts and messages for Rima on her desk.
  • Be meticulous and organized in upholding company systems and procedures.
  • Maintain and organize all front desk files and scan any non-digital client forms.

Register

  • Follow Cash Handling Procedure for balancing cash deposits and making change.
  • Handle customer checkout in person and on the phone
  • Encourage the sale of gift cards and packages

Permanent Jewelry Artist

  • Give clients an exceptional permanent jewelry experience by educating them on the different quality levels, creating a custom jewelry piece and welding it together.

Online Reputation Management

  • Reply to all Google reviews.
  • Issue points for Google reviews & thank the client
  • Send out review requests.
  • Replying to all comments and DMs with responses longer than 4 words (ie- offering to answer any questions/expressing how much we’d love to see them and a call to action.)
  • Reach out to potentials who follow us and send the “new follower” saved reply. If they’d like more info, send them the brochure file and website and ask if they have any questions.

Receiving and Stocking Inventory

  • Receive deliveries, check for accuracy and leave invoices on Rima’s desk.
  • Notify Operations Manager of any discrepancies and contact suppliers to replace any damaged or missing items.
  • Stock retail items using FIFO method
  • Place backbar items in the breakroom for Esties to stock.
  • Create price tags

Cleanliness and Daily Duties

  • Maintain a visually appealing and organized front desk, waiting area and restroom at all times.
  • Tidy and stock the drink station frequently.
  • Complete shared cleaning duties like vacuuming, mopping, cleaning the bathroom and taking out the trash.
  • Offer and be ready to assist the other staff in their duties.
  • Complete all tasks on the Duties List and Asana .

Knowledge

  • Understand all skincare, permanent jewelry and permanent makeup services and be able to recommend and confidently answer all questions.
  • Maintain a comprehensive knowledge of all current skincare products to be able to recommend and confidently answer all questions.
  • Stay proficient with all company software and applications

Five Star Customer Service

  • Learn and apply our scripts for exceptional client experience.
  • Prioritize professionalism and patience in all interactions
  • Greet each client with a warm smile.
  • Address them by name and add a personal touch in every interaction.
  • Offer beverages and ensure their wait is welcoming and enjoyable.
  • Always exceed the customer’s expectations.
  • Learn what improvements the client is looking for in order to recommend the best product or service for their needs.
  • Explain our current promotions and confidently upsell products and services to enhance the client experience.
  • Communicate the lounge’s policy regarding Deposits and Cancellations.
  • Address upset clients promptly, utilizing our Upset Client Protocol.

  • Be passionate about helping others look and feel their best.
  • Leave your worries at the door and keep a positive attitude at all times.
  • Adhere to the dress code at all times.
  • Support and adhere to all company policies and procedures.

  • Attend and actively participate in all monthly team meetings and applicable weekly trainings
  • Support the team by using and promoting their services
  • Promote the business to the community.

Job Type: Part-time

Pay: $13.00 - $15.00 per hour
