The Facilities Group National, a leader in the building maintenance services industry, is currently seeking a motivated administrative assistant to support our staff at a warehouse for an exclusive customer of ours. This customer offers a wide range of transportation services worldwide and operates in more than 3,300 locations. Customer is located in Shelbyville, IN.
Summary
We are looking for an organized and detail-oriented administrative assistant to support our team. The administrative assistant will work closely with the site manager and other site staff to assist in day-to-day administrative operations. They will assist new employees with onboarding and training, handle office records, and respond to client or employee inquiries. The ideal candidate will be English/ Spanish bilingual and have prior administrative assistant experience.
This is an in-office position located in a distribution warehouse in Shelbyville, IN. This position reports directly to the Site Manager.
Administrative Assistant Responsibilities/Duties
- Answer calls, emails, and other correspondence in a timely and professional manner.
- Maintain and organize office files, records, and documents.
- Manage office supplies and help place orders when necessary.
- Handle basic bookkeeping tasks, such as employee hourly reports and employee timecards.
- Assist with employee onboarding, orientation, and training sessions.
- Support supervisor with administrative tasks as needed.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Maintain confidentiality and handle sensitive information with discretion.
- Perform other duties and projects as assigned.
Administrative Assistant Qualifications
- 1 year(s) of administrative assistant, office assistant, front desk, or other similar experience. (required)
- English/ Spanish Bilingual is a plus.
- Computer proficiency and experience using MS Office 365 (Word, Excel, Outlook, PowerPoint, Teams, SharePoint). (required)
- Must possess a positive attitude and work well with other team members.
- Must be able to work unsupervised.
- Must have good verbal and written communication skills.
- Must be able to follow direction and ask questions for clarification, if needed
- Authorized to work in the U.S. – We Use E-Verify
