This position is responsible for supporting the administration and back-end management of customer deposit accounts, focusing on accuracy, compliance, and operational efficiency. You will collaborate closely with internal teams and external partners to ensure a seamless customer experience while maintaining strict adherence to regulatory requirements.

Accountabilities

What will you do:

Deposit Processing Reconciliation and Maintenance

Process deposit services Reconciliation and Maintenance, ensuring all required documentation is complete and accurate.

  • Conduct SSA verifications to ensure accurate customer information and compliance with regulatory requirements.
  • Process new account openings, ensuring all required documentation is complete and accurate.
  • Update customer records based on SSA notifications.
  • Perform AVS checks to verify customer asset information.
  • Verify signatures and documentation in accordance with bank policies.
  • Process account closures and notifications based on death notices.
  • Facilitate fund sweeps between accounts and coordinate product switches for customers as requested.
  • Ensure accurate execution of transactions and update account details accordingly.
  • Process address change requests in a timely and accurate manner.
  • Update customer account information and perform account maintenance activities, such as changes in ownership, beneficiaries, and account features.
  • Process CIP and COBO check-off in an efficient and accurate manner.
  • Print and send statements.
  • Conduct due diligence and verification processes to comply with regulatory requirements and prevent fraud.

Quality Control

Deliver accurate, compliant, and customer-focused support while contributing to the bank's reputation for excellent service.

  • Responsible for effective and efficient processing of new DDA, savings, and COD accounts and necessary support.
  • Verify critical fields and confirm receipt of signature cards and related account documents.
  • Review system reports, solve problems, and correct all errors.
  • Update accounts as needed relative to DDA, Savings, COD, and interest accrual exceptions.
  • Input account changes on Navigator using completed maintenance request forms, including waivers, product switches, addenda records, internal transfers, sweeps, etc.
  • Input W-8 forms on foreign customers.
  • Reply to all account verifications.
  • Complete TIN verifications.
  • Provide other related support as needed to achieve team goals and objectives.

Mail Processing and Distribution

Accurate, efficient, and secure handling of incoming and outgoing mail for the Bank.

  • Assist bank teammates with mail questions and processes.
  • Scan documents as necessary.
  • Process daily return mail; route to the appropriate individual, department, or workflow process.
  • Log, research and resolve each return mail piece utilizing the web, account officers, and customer contact.
  • Maintain, monitor, and charge return mail fees through a recurring service charge, update associated account fields for manually controlled accounts and Reg D compliance.

Qualifications

High School degree required. One or more years of relevant work experience, preferably in bank operations or a combination of education/experience that would enable incumbent to meet accountabilities and required competencies of the position.
