ABOUT THE FLORIDA CENTER
The Florida Center for Early Childhood is a nationally accredited nonprofit organization that supports the healthy development of young children, specializing in those with delays, disabilities or mental health challenges. Our mission is to build and foster strong families and expand the potential of young children. Our full-service locations in Sarasota and North Port offer preschool, developmental therapies, mental health therapies and parenting support services. Our satellite offices in Port Charlotte and DeSoto provide parenting support services. Our satellite office in Bradenton serves as home-base for our Early Childhood Court Team and mental health and preschool consultation programs. In addition, The Florida Center provides Fetal Alcohol Spectrum Diagnosis statewide and our early childhood experts provide training nationally.
GENERAL STATEMENT OF DUTIES:
Overseeing and upholding the operational functionality of the organization by managing the physical infrastructure, facilities, equipment (including technology) and transportation vehicles necessary for the smooth operation of the organization. This position requires a proactive and detail-oriented individual who can ensure that the facilities and equipment are maintained at their best to uphold our mission. Responsibilities may be modified according to the unique needs and demands of the agency.
EDUCATION/EXPERIENCE
- Bachelor’s degree in facilities management or related field with 3 years’ experience or 7 years’ experience in facilities, vehicle(s) and equipment management
- Expertise in managing facilities, vehicle, equipment, and technology
- Excellent problem-solving skills and attention to detail
- Possess valid driver’s license and pass driver/auto insurance screening
PRINCIPLE DUTIES
FACILITY AND VEHICLE MANAGEMENT
- Performs regular inspections of facilities to identify any maintenance or repair needs.
- Coordinates, oversees and assigns maintenance, repairs, renovations as required.
- Perform maintenance tasks, including but not limited to HVAC systems, plumbing, electrical systems, lighting, doors, windows, playground equipment, other building components and landscape maintenance.
- Develops and implements preventive maintenance schedules for all equipment and systems.
- Addresses any safety concerns or hazards promptly and takes appropriate corrective actions.
- Manages relationships and acts as liaison with external vendors, contractors, and suppliers for facility-related services
- Manages work order tracking and completion log/system
- Coordinates office moves, relocations and furniture rearrangements as needed
- Develops and implements cleaning protocols and schedules for all areas of the organization
- Coordinates the regular cleaning of offices, common areas, restrooms and classrooms
- Manages custodial vendor and/or staff member
- Maintains and orders inventory of cleaning supplies, toilet tissue, paper towels, soap and other facility related materials
- Addresses pest control and cleanliness issues/needs promptly
- Oversees the maintenance and improvement of outdoor spaces and landscaping
- Coordinates lawn care, tree maintenance, gardening and irrigation systems
- Plans and implement seasonal landscaping projects such as planning, mulching and pruning
- Ensures compliance with regulations
- Manages the organization's vehicles and implement vehicle management policies and procedures.
- Ensures the vehicles are properly maintained and serviced on schedule.
- Coordinates repairs and maintenance with external service providers.
- Monitors fuel consumption, mileage, and overall vehicle performance.
- Keeps accurate records of vehicle maintenance, repairs, and expenses.
- Implements strategies to optimize vehicle efficiency and reduce costs.
- Ensures compliance with relevant regulations, permits, and licensing requirements.
RISK
- Conducts regular risk assessments and inspections to ensure compliance with relevant building codes, safety regulations, and legal requirements.
- Develops and implements emergency preparedness plans and procedures and risk mitigation strategies and protocols in partnership with leadership
- Conducts regular safety inspections and address any deficiencies promptly.
- Trains staff on safety protocols, including emergency procedures and evacuation plans.
- Oversees the agency safety plan and requirements working with programs and departments to ensure safety and efficiency
- Responsible for fire inspection preparedness, playground safety and other related risk factors
- Manages alarm and monitoring systems
- Maintains accurate records of risk assessments, incidents, and corrective actions taken.
- Stays updated on industry best practices and regulations regarding risk management.
- Point of contact for commercial insurance
- Submits and renews reporting to taxing entities
- Participates in continuous quality improvement (CQI) committee
COMMUNITY INVOLVEMENT
- Acts as liaison to coordinate volunteer programs and opportunities, particular to labor and facility-related projects.
- Sits on COAD committee
- Supports and assists with grants related to facility and IT
- Foster positive relationships with community members and stakeholders.
- Supports event set up grounds and in facilities
INFORMATION TECHNOLOGY, EQUIPMENT AND SYSTEMS
- Coordinates the setup of IT access, key fobs and accounts for new employees.
- Ensures new employees receive the necessary equipment, including computers, phones, and peripherals.
- Collects and document the return of equipment from terminated employees.
- Safely handle data and sensitive information during the equipment collection process.
- Collaborates with the IT department to maintain an accurate inventory of IT assets.
- Ensure compliance with data privacy and security policies when handling equipment and data.
- Provides Server oversight/IP oversight
- Coordinates new employee access to appropriate systems such as Power BI, Lauris, Zoom, Outlook/Google email, P-Drive
- Other duties as assigned.

TYPICAL WORKING CONDITIONS AND TYPICAL PHYSICAL DEMANDS
Lifting and Carrying: The job may require the ability to lift and carry objects such as equipment, supplies, and materials, which could range in weight from light to heavy. This may involve proper lifting techniques and occasionally using equipment like dollies or carts to assist with transporting heavier items.
Standing and Walking: The position may involve significant amounts of standing and walking throughout the day, particularly when conducting facility inspections, overseeing maintenance tasks, etc.
Physical Stamina: Have sufficient physical stamina to perform tasks that may involve bending, stooping, reaching, and climbing ladders or stairs.
Manual Dexterity: The job may require good manual dexterity to operate tools, equipment, and machinery. This could include using hand tools for repairs, handling small parts or components, and operating computer keyboards or devices.
Vision and Hearing: Good vision and hearing abilities are essential for this role or corrected vision, speech, and hearing to normal range, or special accommodations made of sufficient nature for completion of assigned tasks.
