Job Purpose:

The grants and accounts payable coordinator manages all aspects of grants administration, accounts payable processes and provides essential accounting support. This role is responsible for maintaining the financial and recordkeeping of donor restricted grants as well as assigned federal grants. This role ensures compliance with organizational policies, grantor requirements and accounting standards while maintaining accuracy and timeliness in financial operations. The position is responsible for compiling financial and non-financial data for the preparation of internal reports, compliance and grant billings.


Special Conditions of employment: 

  • Must have a valid Nevada driver’s license and daily access to a vehicle.
  • Must successfully complete a pre-employment background check.


Qualifications / Required Education and/or Experience:

  • A Bachelor’s degree with emphasis in accounting and a minimum of two (2) years’ experience, with demonstrated progressively complex responsibilities are required. 
  • Degree requirement may be waived with five (5) years commensurate experience.


Fiscal Responsibilities:

  • Manage documentation of all donor-restricted grants and ensure all required fiscal reports are prepared and submitted in accordance with the grant requirements
  • Work with other departments to construct operating expense budgets for donor-restricted grants.
  • Ensure and verify general ledger detail accurately reflects program activity.
  • Compute, classify, and record numerical data to keep financial records complete.
  • Verify the accuracy of figures and calculations pertaining to business transactions recorded by other staff.
  • Verify the accuracy of invoices and other accounting documents or records, daily.
  • Complete federal grant request for reimbursement request for assigned grants, monthly, and others as needed.
  • Process full cycle accounts payable, weekly.
  • Complete remote deposit, daily. 
  • Prepare journal entries as needed.
  • Process full cycle payroll as needed
  • Monitor FBNN staff to ensure fiscal policies and procedures are followed, as directed.
  • Coordinate with food resourcing team members as needed.
  • Collaborate with development staff and attend periodic meetings to reconcile donor restricted grants, as needed.
  • Communicate and respond to internal and external requests for donor restricted grant information.
  • Assist in annual budget process as needed.


Office Support Responsibilities

  • Participate as needed in special projects and assignments—may include gathering data and compiling various reports for management.
  • Manage projects, and contribute to team work.
  • Other duties as assigned.

Knowledge, Skills & Abilities:

  • Strong knowledge of finance and accounting principles.
  • Detail oriented individual with ability to analyze numbers.
  • Experience with grants management (e.g.- grant tracking, allocating expenses, grant   billing, and grant close).
  • Strong knowledge of account principles (GAAP) and Federal OMB CFR-200 requirements.
  • Excellent organizational skills.
  • Experience in a nonprofit environment with a variety of stakeholders.
  • Experience with financial accounting systems. 
  • Demonstrated experience following internal controls.
  • Self-motivated and ability to work independently with drive for superior performance.
  • Ability to work well under pressure with ability to meet multiple and sometimes conflicting deadlines.
  • Ability to develop and maintain collaborative and professional relationships.
  • Experience with clerical procedures and systems such as Microsoft Office, managing files and records, transcription and spreadsheets.
  • Working knowledge of standard office equipment.
  • Ability to communicate effectively and clearly, both orally and in writing.
  • Strong application of grammar, spelling, punctuation and rules of composition; letter and report writing.
  • Technical capacity.
  • Ability to maintain confidentiality.

Employee utilizes a computer a significant portion of the day. 

The employee is regularly required to use hands and fingers to handle, feel, or operate computers, objects, tools or controls, and reach with hands and arms. The employee is frequently required to stand, talk and hear.


Position Type/Expected Hours of Work

  • This is a full-time position. 
  • Normal days and hours of work are Monday through Friday 8:00am-4:30pm. 
  • Days and hours may vary from normal schedule when program schedule adjusts or other special events arise.
