JOB SUMMARY
The Human Resources (HR) Generalist performs a wide variety of duties to support the Human Resources Department and the Director of Human Resources. They complete, prepare, process and accurately maintain a variety of tasks, records, and files relating to staff, payroll and benefits with an emphasis on accuracy and deadlines. The HR Generalist(s) are responsible for various Human Resource Functions including: new hire on-boarding, background verification processes, wage and salary administration, benefits administration, FMLA and medical leave administration, unemployment claims administration, worker’s compensation claims administration, personnel records maintenance and employee relations. The HR Generalists’ roles are divided and assigned within the HR team, but they are cross-trained on all aspects of the HR functions to support the overall needs of the department. Travel to other work sites may occasionally be required.

SUPERVISION: Human Resources Generalist Reports to the Director of Human Resources
ESSENTIAL JOB FUNCTIONS – Role A
- Enter workers’ compensation reports into claims and HRIS system and send initial email to employee, HR team and management and set up file for claim. Follow up with employee and supervisor as needed. Update HRIS system with any additional information received on treatment, time off or communication from the employee and adjuster. Follow up with and forward all documentation to the claims’ adjuster; complete wage statements when needed. Send daily claims summary emails to CEO and HR department
- Oversee employees’ use of Family Medical Leave Act protection and other medical leave; communicate with employees and supervisors, distribute and collect required documentation, track time used and benefit requirements; monitor and track any light duty restrictions and releases to full duty. review employee timesheets for use of FMLA, Workers Compensation, Extended Sick Leave and Administrative Leave; update employee portal information as needed; create and distribute reports to the management team
- Administer the short-term and long-term disability benefits; communicate with employees who qualify for benefit, provide necessary forms, follow up to obtain documentation from employees and provide vendor with information needed to process claims
- Complete requests for separation information from employment from state agencies on all unemployment claims; follow-up with claims representative on additional information as needed and requested within deadlines. Review for fraudulent claims and fraudulent benefits charged to the account; assists with appeals; check correspondence, benefits payment summaries and appeal notifications daily and respond as needed
- Reconcile benefit invoices and other HR vendor invoices; notify and assist the HR Director to resolve any discrepancies, manage updates and submit payment requests for approval and processing; review employee benefit deductions while on unpaid leave including, FMLA, workers’ compensation benefits or STD/LTD disability benefits and arrange for payment of missed deductions
- Assist the HR Director with employee status changes by preparing necessary paperwork to include new employment agreements, personnel action forms and updating related systems and vendor sites
- Assist with implementation of the company 403(b) retirement plan, complete employee notifications, track and assist with employee enrollments and contributions, obtain necessary documentation from employees and assist with distribution of annual notifications and audits. Review and authorize employee loans and withdrawals.
ESSENTIAL JOB FUNCTIONS – Both Roles
- Provide support to employees and managers on concerns, inquiries, verification of employment, completion of employment related forms and employee updates; provide information to employees on all benefits, HR policies and procedures
- Assist with data maintenance in HRIS and Payroll systems by adding new information, making changes to current information and reviewing information for accuracy; create and update HR forms and tracking systems, assist with distribution of required notifications and annual documentation
- Demonstrate knowledge of human resources laws and regulations regarding confidential staff information and ensure information is shared only when appropriate and in accordance with company policies and procedures, as well as with all federal, state, and local laws. Track and report on monthly webinar, training or research completion
- Maintain and protect sensitive employee information; maintain confidentiality about critical situations that arise at the workplace; ensure professional boundaries between staff and HR are maintained at all times and information is shared only with the appropriate parties; ensure sensitive information and files are secure at all times and are destroyed using appropriate methods
- Demonstrate behaviors that are consistent with standards for profession and ethical conduct; alerts supervisor of unethical or unappropriated conduct observed within the workplace; acts as a role model for other staff
- Serve as backup for other HR functions as needed
- Demonstrate commitment to continuous improvement and professional development; actively participate in applicable staff development activities

Requirements
Education, Experience and Certification
- Bachelor’s degree or higher in Human Resources or related fields is preferred equivalent experience may be substituted for degree
- Two or more years of experience in the Human Resources field
- Considerable knowledge of HR principles and practices
- Experience working with HRIS and payroll systems
- HR Certification(s) preferred
