OVERALL RESPONSIBILITY :
Office Coordinator Personnel are responsible for phone support, clerical and order processing support to ensure the efficient operation of various functions including but not limited to aftermarket orders. Tasks will be related to organization and communication, and must be conducted in a manner that is consistent with the company values and operating philosophy.
ACCOUNTABILITIES :
- Answering the telephone, directing and / or screening calls, taking, and relaying messages. Ensures all customers are taken care of promptly and in a sincere manner.
- Processing aftermarket orders from customers.
- Customer Communication
- Vendor Communication
- Process purchase orders to vendors.
- Ship and receive aftermarket orders physically and virtually
- Customer Service communicating with customers as needed. Processing paperwork, maintaining records, order entry, meeting minutes, reporting, supply ordering and all other general office support related tasks for the aftermarket group as assigned.
- Field Service, Parts and Technician Support, prepares job paperwork and performs customer interactions, including technician job files, quoting, sales order entry, invoicing and filing. Facilitating sales orders following order entry to completion.
- All other administrative or general office support related to duties as assigned.
