Position Summary:
This position has a wide variety of duties, but the primary focus is to provide customer service in support of the general operations of the Human Resources (HR) department. Responsible to make all feel welcome and treated in a courteous and friendly manner in person as well as over the phone. Assist the hiring manager with various duties related to application, testing, and interview procedures. Serves as department file clerk. Required the ability to effectively communicate in a professional manger. Must be discrete when handling confidential information. Requires excellent time-management skills.
Experience Required:
Previous experience in an office setting, preferably in customer service. Proven accuracy and attention to detail. Understanding of filing systems helpful.
Education/Training Required:
High school diploma or equivalent required. A working knowledge of Microsoft Office.
Job Duties:
1. Greet and direct visitors to the HR department. Resolve routine issues related to HR office functions. Direct inquiries to the appropriate team member.
2. Pick-up calls to HR extensions rather than let them go to voicemail. When the caller requests to leave a message, include the caller's name, contact number, and reason for the call.
3. Respond to employment verification phone calls on current and previous employees.
4. Open, date stamp, sort, and deliver all incoming route and postal mail. Log and deliver all incoming HR forms and reports in a timely manner.
5. Manage the HR filing system. Create new files. File documents in a timely manner. Pull files upon request. Audit paperwork in the payroll system, verifying that all entry is correct before filing. Audit files to ensure proper placement. Responsible for locking and unlocking the files on a daily basis.
6. Remain current on Immigration laws. Audit new I-9 forms for completeness. File completed forms. Track I-9 renewals for current employees. Pull and date the I-9 form when an employee terminates. Examine I-9 forms that contain visa information to verify work authorization is current. Advise employees of the expiration date status and monitor the renewal of their card.
7. Prepare terminated employee files according to the records retention policy. Record the location of files that have been moved to the storage area outside of HR.
8. Assist hiring manager by scheduling pre-screening interviews, conducting reference checks, sending test links. preparing test summaries, and scheduling interviews. Updates Cyber Recruiter to ensure a complete audit trail of these actions is maintained.
9. Assist the technical specialist/project coordinator by noting if Request to Hire forms are incomplete (such as not signed or without a current job description attached). Completes a first review of annual performance evaluations delivered to HR.
10. Responsible for the locked storage area, ensuring it is secure, neat, and orderly.
11. Responsible to keep the kitchen neat and clean.
12. Order HR office supplies, ensuring the department's supplies are stocked, including copy paper and envelopes.
13. Order bereavement and hospital floral arrangements when notified.
14. Order employee birthday postcards and gift cards by contacting the General Superintendent's Administrator.
15. Using a report provided by the payroll manager, distribute the employee birthday cards on a monthly basis.
16. Maintain the three corporate bulletin boards for neatness, posting and removing ads and flyers on a rotating basis.
17. Assist departments with reserving the auditorium and cafeteria. Maintain the calendar.
18. Coordinate and facilitate all logistics of the annual craft fair benefiting the employee benevolence fund.
19. Participate with the HR team to assist with annual corporate functions and events.
20. Assist with special projects as assigned by the HR director or hiring manager.
