Responsibilities

Summary

The Executive Assistant serves as a key advisor to the Facility Administrator on matters of policy, programs, and operations. The position provides direct administrative support to the Facility Administrator through continuing assignments and special projects as well as assistance to department heads in achieving specific program management objectives. The position also oversees compliance and grievance areas for the facility. Under general guidance, this position manages, coordinates, and directs the compliance aspects of the operations at the facility.

Primary Duties And Responsibilities

  • The Executive Assistant establishes and maintains effective working relations with all levels of staff, the state, other law enforcement agencies, and the general public.
  • Conducts investigations into highly confidential and/or critical incidents and submits written reports to the Facility Administrator.
  • The Executive Assistant acts on behalf of the Facility Administrator in researching and responding to moderate to complex issues impacting the facility. Ensures responses accurately represent the facility’s policy and procedures.
  • Provides assistance to department heads in achieving specific program objectives by delegating and reviewing their submitted work prior to the approval by the Facility Administrator.
  • Serves as one of the facility’s Administrative Duty Officers (ADOs).
  • Composes and types general correspondence to the general public and public officials.
  • Serves as the facility’s Congressional Inquiry representative by receiving correspondence from Senators and Congressmen, gathering and researching information for responses, and preparing them for the Facility Administrator’s signature.
  • Serves as facility’s public relations representative. Responds to requests for information from news media or other inquirers. Provides timely and accurate responses while protecting the integrity of the facility. In addition, writes memorandums, letters, press releases, or news articles
  • Conducts internal audits and inspections and prepares reports.
  • Supervises the Detainee grievance and appeals process.
  • Supervises the training department.
  • Coordinate and manage all litigation concerning the facility to ensure coordination between the facility, staff involved and attorneys.
  • Responsible for Attorney Visitation and the Coordination of visits between Attorneys and detainees.
  • Oversee and advise staff in the areas of release of information involving legal issues.
  • Performs other duties as assigned.

Qualifications

Minimum Requirements

  • Bachelor’s degree and one (1) year of professional experience in public administration or technical administrative experience in correctional field or Public Administration or an equivalent combination of education and experience, substituting one (1) year of qualifying experience for each year of the required education.
  • Required knowledge, skills and abilities at this level include knowledge of the methods of organization and management; of public administration; of agency policies and procedures; of grant or contract program requirements; of the legislative process; of basic research and statistical techniques; and of federal and state laws and regulations relating to administration of assigned programs.
  • Ability is required to establish and maintain effective working relationships with others.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to establish and develop training programs.
  • Exercise good judgment in analyzing situations and making decisions.
  • Ability to organize and present facts and opinions.
  • Must have resided within the United States or its territories for the last five (5) years.
  • Must be at least twenty-one (21) years of age or older.
