I. JOB OVERVIEW

Job Description Summary :

The Office of the Board of Trustees provides executive level support to The George Washington University and Medical Faculty Associates, Inc., Boards of Trustees and individual trustees. The Office of the Board of Trustees also serves as the liaison between the trustees, senior staff and other constituencies of the university. The office keeps trustees informed of university and board activities and is responsible for staffing board meetings as well as keeping historical records of the board.

The Assistant Director for Board Operations is responsible for tasks that require a high degree of confidentiality, discretion, sensitivity, and diplomacy. The position requires excellent written and verbal communication skills, exceptional organizational abilities, the flexibility to handle multiple priorities simultaneously while working well under pressure, and the ability to work and think independently. Reporting to the Assistant Vice President for Board Relations, the Assistant Director for Board Operations is a key facilitator in supporting the work of the GW and MFA Boards of Trustees and Office of the President.

This includes :

  • Acting as a point of contact and participating in the answering of inquiries from Trustees, University staff, or general public.
  • Staffing the Board of Trustees committees and task forces, including planning meeting agendas, tracking committee work plans, coordinating meeting materials, and drafting meeting minutes. Working with the Board Office and University Events teams, planning and facilitating Board of Trustees events which include quarterly board meetings and annual Board Leadership Retreat. Preparing and distributing Request for Proposals to hotels, transportation companies, and other miscellaneous vendors. Analyzing proposals received from prospective vendors, conducting site visits to determines site suitability, and selecting the most appropriate venue to accommodate the meeting specifications. Maintaining working relationships with area vendors.
  • Tracking and coordinating responses and communications with the Executive Associate to the Board of Trustees concerning any event attended by Trustees, including, but not limited to the regular Board of Trustees meetings.
  • Overseeing the daily office management and administrative services, including ongoing budget preparation, management, and evaluation, and maintaining the accuracy of the data and information contained on the Board of Trustees website and Board portal.
  • Performing market research on a project basis, including preparing Trustee forecasting reports and industry research for the Chair and Vice Chair of the Board of Trustees, Chairs of the Board’s Committees, and University leadership.
  • Preparing guidance on strategic initiatives for the Board of Trustees Office and the Office of the President under the supervision of the Vice President and Secretary of the University, with day-to-day supervision by the Assistant Vice President for Board Relations.
  • Performing other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning logically related duties to the position.

Minimum Qualifications :

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
