Executive / Personal Assistant for CEO to small Real Estate Company

We are seeking an exceptional Executive Assistant (EA) to support the President of a thriving organization based in Santa Monica. This is a pivotal role for a highly organized, resourceful, and detail-oriented professional with outstanding written communication skills. Acting as the right hand to the President, you will manage a wide range of responsibilities, ensuring seamless operations in both professional and personal contexts.
The President oversees multiple properties in California and other states and serves on several boards. The core focus of this role is managing a highly dynamic and meticulously planned schedule while maintaining flawless coordination of correspondence and travel.
Key Responsibilities
Oversee and maintain the President’s complex calendar, coordinating meetings, appointments, and board commitments with precision.
Plan and manage all business and occasional personal travel, including booking flights, accommodations, and itineraries.
Draft, review, and manage email communications, ensuring timely, professional, and accurate responses.
Anticipate needs, ask insightful questions, and maintain consistent communication to ensure seamless operations.
Liaise with relevant teams or vendors to address needs related to the President’s extensive property portfolio.
Work closely with the small office team, including the Personal Assistant (PA) and other staff, to provide cohesive support.
Assist with board-related materials, communications, and scheduling.
Implement and maintain meticulous systems to ensure all tasks and requests are followed through with regular updates to the President.
