Job Title : Assistant Director, Prospect Management and Research

FLSA Classification : Exempt

Reports to : Director of Advancement Operations

Position Summary

The Assistant Director works as a strategic partner with frontline major and planned giving fundraising staff to manage current and prospective major donor portfolios (approximately 1,200 constituents), track current and prospective major donor activity, and collaborate around engagement and solicitation strategies for current and prospective major donors. This role supervises a Research Analyst and will set prospect research structures and standards as well as participate in conducting research.

The Assistant Director supports Advancement’s fundraising goals for approved priorities by utilizing technological tools and industry best practices to aid frontline fundraising staff in managing major gift prospective and current donors through the fundraising lifecycle. The selected candidate will ensure the successful implementation of GBFB’s Relationship Management Policy, including supporting Moves Management meetings, overseeing prospect clearance procedures, and monitoring data accuracy in Salesforce.

Role & Responsibilities

  • Manages a comprehensive program which identifies, evaluates and recommends for assignment current and prospective major gift donors, with an emphasis on individuals. Proactively manages and monitors a moves management system which emphasizes qualification of major gift prospects. Regularly brings forward new major and planned gift prospects for assignment based on predictive modeling results, wealth screenings and other techniques which identify high-potential prospects based on capacity and inclination.
  • Maintains regional territory structure and recommends new potential geographic areas for frontline coverage. Guides frontline staff on procedures for evaluating, unassigning or reassigning qualified prospects; and administers framework to track and advance assigned prospects. Manages portfolio evaluation, distribution, and reassignment upon the arrival or departure of frontline staff. Convenes regular, structured prospect strategy meetings.
  • Collaborates with Advancement leadership to provide strategic short- and long-range planning for the Prospect Management and Research program. Establishes, cultivates and maintains effective working relationships with frontline and Donor Relations staff. Supports the efforts of the Advancement Committee of the Board of Directors, including conducting prospect screenings and preparing call lists. Contributes to the expansion of prospective board member pipelines managed by the Governance and Nominating Committee.
  • Maintains expertise on techniques and resources through ongoing professional development, participating in professional associations, and / or fostering a network of peers. Evaluates existing processes and makes recommendations for enhanced efficiencies utilizing existing or new electronic systems. Seeks to incorporate new methodologies in own work and that of the Prospect Management and Research department. Educates frontline staff and others involved in fundraising activities about current practices and trends.
  • Supervises, coaches and trains Research Analyst role and serves as a resource for Advancement colleagues by conducting peer-to-peer and group trainings about prospect management and research techniques and trends.
  • Serves as an active member of the Advancement Operations team. Oversees Research team data quality projects and participates in Advancement-wide data integrity initiatives. Collaborates with Salesforce Advancement Liaison and members of the Enterprise Technology Strategy & Services (ETSS) department to recommend Salesforce enhancements that improve access to current and prospective major donor, and volunteer leader including board member, data points.
  • Within established budget parameters, oversees the evaluation, negotiation, purchase recommendation, and renewal of research resources, publications and services. Reviews resources for effectiveness, reliability, and comprehensive coverage on a regular basis. Represents Prospect Management and Research needs in the evaluation, recommendation and selection of vendor services of benefit to the Advancement division. Manages GBFB relationship with relevant vendor partners.
  • Partners with the Assistant Director, Public Relations and the Director of Donor Relations to track and disseminate news and information about top donors and prospects within and beyond Advancement as appropriate.
  • Attends GBFB events and functions, representing Advancement as necessary and appropriate.
  • Adheres to research and ethics guidelines and methodologies as defined by the Association for Professional Researchers in Advancement (APRA).

Skills & Qualifications

  • Bachelor’s degree required or equivalent combination of education and experience
  • Minimum of 5 years in prospect development or equivalent field
  • Proficient in using relational databases, deep understanding of information management
  • Highly proficient in Microsoft Office suite; advanced Excel preferred
  • Familiarity with prospect management and research paid and free electronic resources
  • Strong organizational skills, the ability to work independently, and exercise sound judgment and initiative
  • Strong oral communication skills
  • Excellent interpersonal skills to create effective collaborations among various levels of staff to bring large scale projects to completion
  • Ability to work and communicate effectively with a broad spectrum of divisional and institutional colleagues, within an environment that values diversity, equity and inclusion.
  • Ability and desire to work independently and as part of a team
  • Knowledge of and demonstrated experience with staff supervision, principles of management, leadership, conflict resolution, negotiation and motivation
  • Strong problem solving, critical thinking and analytical skills
  • Experience in development, research or financial institutions strongly preferred
  • Must meet the qualifications of The Body of Knowledge as defined by the Association of Professional Researchers for Advancement (APRA)
  • Excellent project management and collaborative experience
  • Proficiency in writing clearly and concisely
  • Ability to appropriately use and manage sensitive and confidential data
  • Excellent time management skills, including the ability to work well under deadlines and manage multiple projects simultaneously
  • Proven success at establishing and achieving quantifiable objectives
  • Commitment to the mission and values of GBFB and a passion for learning and continuous improvement

  • Ability to work in an office environment.
  • Ability to sit for up to 3 hours at a time.
  • Ability to lift up to 25 lbs with or without assistance.
  • Work Environment

  • Hybrid : This role follows a hybrid schedule working in accordance with GBFB’s hybrid work policy. Our in-office time is used primarily for team meetings and formal and informal collaboration necessary to foster and support a positive work culture. This schedule is subject to change based on the organization’s mission to end hunger.
