Meadows Psychotherapy & Assessment is a boutique mental health practice dedicated to providing exceptional therapeutic and psychological assessment services in a welcoming and professional environment. As we prepare to open our doors, we are seeking a detail-oriented and compassionate Administrative Assistant to support our growing team of mental health professionals. An ideal candidate has strong multi-tasking capabilities, and can work in a fast-paced environment. An experienced candidate is preferred, however we may consider a strong candidate without experience.
We are looking for an Administrative Assistant to help with the daily operations of the office. Your role is to maintain a clean, welcoming environment and to accurately assist in front office duties. Administrative assistant duties and responsibilities include greeting visitors, answering incoming calls, scheduling appointments, processing payments, managing the completion of patient paperwork, and maintaining records. Previous experience as a receptionist or administrative assistant would be an advantage. A successful administrative assistant should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Administrative Assistant should be able to ensure the smooth running of the office and a pleasant visitor experience.
Responsibilities include (but are not limited to):
- Greet and check in visitors for appointments
- Process payments and maintain payment records
- Answer incoming calls and direct calls to appropriate staff
- Schedule meetings and appointments
- Help clean and maintain the office condition
- Provide general support to visitors
- maintain a variety of information in files and spreadsheets
Schedule
- 5 days a week
- Saturday availability
Skills
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Strong initiative and reliability

- High School diploma
