Job Description
The mail / facilities clerk is responsible for processing all incoming and outgoing mail. The mail / facilities clerk is also responsible for routine maintenance duties and / or cleaning functions related to equipment and facilities. The mail / facilities clerk will be required to perform other duties and activities within the realm of the position as identified by the department manager.
Required :
High school graduate or equivalent with at least one year experience in an office setting preferred.
Must be computer literate with knowledge of Microsoft Office Programs (Word, Excel, Outlook).
Self-starter, detail oriented, ability to work independently.
Good organization skills, ability to prioritize and meet deadlines.
Maintain confidentiality.
Good communication skills.
Ability to work a flexible schedule.
Knowledge of common maintenance / custodial tools and utilization of power / mechanical equipment used in custodial work.
Ability to perform physical labor and follow oral and written instructions.
Must have active driver's license and good driving skills.
Must be able to lift and carry approximately 50 lbs.
Desired :
Mail and postage machine experience.
General maintenance experience preferred.
Responsibilities :
Opens and sorts all incoming mail and distributes to the appropriate personnel / department.
Coordinates and documents all incoming shipping packages, documents, etc. via the UPS and FedEx systems.
Processes all outgoing mail via UPS, USPS, and Super Mail.
Maintains envelope inventory and reports to manager.
Maintains / orders all office supplies in the cabinets on every floor.
Maintains all areas in a professional and orderly fashion.
Setting up all conference rooms and auditorium for meetings.
Maintains all service requests for copiers, equipment, etc.
Assists with maintaining stock in the kitchen and comfort stations.
Assists with maintaining outside building to include : sidewalks, landscaping, snow removal, furniture.
Assists with escorting and assisting all contractors in the building.
Assists with all moves within the facility.
Assists with maintaining inside the building documenting all work orders in the Jira system.
In cooperation with the Facilities Manager, performs all other tasks as assigned.
Back-up duties when needed.
Facility maintenance.
Maintenance / custodial repairs in the building.
Order and stock all custodial, paper, office supplies.
