Position Overview
We are seeking a detail-oriented and motivated Accounting Assistant Accounts Payable/Receivable to join our Finance team. Under the guidance of the CFO, this role is responsible for the timely and accurate processing of accounts payable and receivable while adhering to the financial policies and procedures of The Hermitage Club. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively with various departments to ensure efficient financial operations.
Key Responsibilities

Accounts Payable & Receivable Management:
- Manage accounts payable using accounting software and other programs.
- Prepare invoices for payment, ensuring timely and accurate processing in compliance with departmental procedures.
- Establish and maintain relationships with new and existing vendors.
- Process transactions, perform account maintenance, record entries, and reconcile accounts, bank statements, and credit cards.
- Track and process all ACH notices accurately.

Cross-Departmental Collaboration:
- Collaborate with department managers and supervisors to ensure invoice accuracy and proper processing.
- Work closely with the HR Manager to account for employee housing payments and H2B visa travel reimbursements.

Administrative Support & Compliance:
- Assist with the credit application process.
- Perform other accounting functions as assigned by the CFO, maintaining confidentiality and adherence to financial policies.
Qualifications & Requirements

Education & Experience:
- High School Diploma required.
- 2 years of experience in accounting and/or collections preferred.
- Previous experience in accounts payable/receivable highly preferred.

Skills & Proficiencies:
- Proficiency in CE (Club Essentials), Excel, Word, Microsoft Office, Yellow Dog, and FileZilla.
- Basic accounting knowledge, including accounts receivable aging reports, journal entries, and reconciliations.
- Strong attention to detail with excellent organizational and multi-tasking skills.
- Assertive personality with excellent oral communication skills.
- Ability to maintain confidentiality and work comfortably in multiple computer systems.
