Duties
- Manage executive calendars, scheduling appointments, meetings, and travel arrangements.
- Serve as a personal assistant, providing administrative support to executives as needed.
- Maintain organized filing systems and ensure all documents are easily accessible.
- Handle phone etiquette with professionalism, answering calls and directing inquiries appropriately.
- Prepare reports, presentations, and correspondence as required.
- Assist in managing office supplies and inventory for the executive team.
- Coordinate logistics for meetings, including preparing agendas and taking minutes.
- Utilize computer literacy to manage various software applications for data entry and document creation.
- Support front desk operations when necessary, ensuring a welcoming environment for visitors.
Qualifications
- Proven experience as an Executive Assistant or similar role; experience as a personal assistant or clerk is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in calendar management and scheduling tools.
- Excellent phone etiquette and interpersonal communication skills.
- Familiarity with office equipment and phone systems.
- Computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Previous experience as a dental receptionist or in a front desk capacity is desirable but not required.
- Ability to maintain confidentiality and handle sensitive information with discretion.
