POSITION SUMMARY:
The Project Manager/Executive Assistant to the President is a dynamic and multifaceted role, combining leadership in project management with high-level administrative support. The individual in this role will be responsible for overseeing and driving projects to successful completion while acting as the primary liaison between project teams and the President. This position demands exceptional organizational skills, effective communication, and the ability to handle confidential information with the utmost professionalism. Must be skilled and comfortable in computer usage to include the Microsoft Office Suite, and the ability to learn new systems quickly. ESSENTIAL FUNCTIONS and DUTIES:
Project Management
- Lead and manage projects from inception to completion, ensuring adherence to timelines and quality standards.
- Collaborate with cross-functional teams to define project scope, objectives, and deliverables.
- Create and maintain detailed project plans, schedules, and timelines.
- Monitor project progress, identify potential issues, and proactively address concerns.
- Report regularly to the President on project status, achievements, and any challenges encountered.
- Facilitate communication between project teams and the President to ensure alignment and timely decision-making.
Executive Assistant
- Manage and maintain the President’s/CEO’s calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents on behalf of the President/CEO.
- Serve as the primary point of contact for internal and external communications directed to the President/CEO.
- Coordinate and attend executive meetings, take detailed minutes, and follow up on action items.
- Conduct research and compile data to assist the President/CEO in decision-making processes.
- Oversee special projects and initiatives as assigned by the President/CEO.
- Handle confidential and sensitive information with discretion.
- Assist in the preparation of meetings and other executive-level meetings as needed.
- Support the President/CEO in managing relationships with key stakeholders, including clients, board members, and community partners.
REQUIRED SKILLS and ABILITIES:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficient in computer usage, to include Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Skilled in calendar management tools (Outlook Calendar).
- Proficient in virtual meeting platforms (Teams, Zoom, etc.).
- Familiarity with project management tools and software.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- High level of discretion, confidentiality, integrity, and professionalism.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
- Attention to detail and problem-solving skills.
REQUIRED EDUCATION and EXPERIENCE:
- Bachelor’s degree in business administration, project management, or a related field preferred.
- Minimum of 3-5 years of experience as an Executive Assistant, Project Manager, or in a similar role, preferably within the banking or financial services industry.
TRAVEL REQUIREMENTS:
- Travel to various HNB locations as needed.
