Executive Assistant & Bookkeeper

We are seeking a highly organized and proactive individual to fill a newly created full-time dual role of Executive Assistant to the CEO and Bookkeeper for multiple entities which includes small businesses and non-profits organizations. This position requires a strong background in bookkeeping, exceptional administrative skills, and the ability to thrive in a fast-paced environment.

Founded in Houston, TX in 2022 by Latisha Ilhan, The Ilhan Group serves as the anchor organization for two other entities, including a non-profit. We provide bookkeeping, CFO, and other operations consulting services. We are a close-knit team where everyone plays a crucial role in our success.
Responsibilities
Executive Assistance
- Manage the CEO's complex calendar, including scheduling meetings and coordinating logistics.
- Prepare reports, presentations, and correspondence for board meetings and executive discussions.
- Act as a liaison between the CEO and clients, maintaining professional and effective communication.
- Handle sensitive information with discretion and confidentiality.
Accounting and Bookkeeping
- Responsible for maintaining the books for multiple entities, full charge bookkeeping is required.
- Prepare monthly, quarterly, and annual financial statements for CEO review and approval.
- Conduct bank reconciliations.
- Review general ledger balances and prepare necessary journal entries for review and approval.
- Assist with year-end financial reporting for external CPAs and tax preparation.
Qualifications
Education
Bachelor’s degree in Accounting, Finance, or a related field preferred.
Experience
5 years of accounting/bookkeeping experience preferred.
Skills
- Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, PowerPoint) is required.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Must be a go-getter willing to go the extra mile to make things better rather than settling for the status quo.
- Ability to look at an issue and resolve it or improve situations without constant supervision.
Work Environment
This is a work-from-home position that requires occasional in-person meetings, work sessions, and travel to client locations as needed.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit for extended periods; use hands and fingers to handle, feel, or operate objects, tools, or controls; and frequently use close vision. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds.
