Project Coordinator

The Project Coordinator will support day-to-day operations by managing construction files, coordinating vendor invoices, and assisting with financial and administrative documentation. This role requires strong organizational and communication skills, proficiency in project management software, and expertise in Excel. The Project Coordinator will work closely with internal teams and external vendors to ensure efficient project execution and reporting.

Requirements:

• 2 years of relevant business experience.
• Bachelor's degree in finance, construction, or a related field preferred (or equivalent experience).
• Strong organizational and communication skills; ability to interact with all levels of personnel.
• Familiarity with Enterprise Network and Project Management Software (e.g., Projectmates, Procore) preferred.
• Proficiency in Microsoft Office (Word, Teams, Outlook) with advanced skills in Excel.
• Understanding of construction and financial terminology.
• Ability to work in a fast-paced office environment.
• Strong problem-solving, interpersonal, and customer service skills.
• Highly organized with the ability to prioritize and adapt to changing situations.

Responsibilities:

• Support department processes, file management, and financial reporting.
• Manage construction files according to document retention policies.
• Assist with reconciliation and closure of financial and administrative documents.
• Coordinate vendor proposals, invoices, pay applications, and change orders.
• Ensure timely processing and payment of invoices.
• Collaborate with team members on various administrative tasks, including Tenant Improvement Allowance (TIA) management, license applications, and tax notifications.
• Prepare and track project budget requests.
• Support the bidding, store walkthrough, warranty process, and document storage.
• Ensure timely delivery of monthly reporting packages to team members and vendors.
• Provide assistance with Project Management Software.
• Handle ad-hoc reporting requests from leadership.
