Job Overview
We are seeking a versatile, detail-oriented and motivated Paralegal/Legal Assistant to join our dynamic, Walnut Creek-based law firm specializing in estate planning, trust administration, probate, business law and civil matters. The ideal candidate will provide essential support in legal drafting, case management, and administrative tasks. This role involves working closely with attorneys to ensure smooth case progress and efficient office operations while delivering exceptional service to our clients.
Duties
- Conduct thorough legal research, including the use of Lexis-Nexis, to support case development and litigation efforts.
- Draft, proofread, and organize legal documents, including trusts, wills, powers of attorney, civil and probate pleadings, and contracts, ensuring accuracy and compliance with legal standards.
- File court documents, including e-filing and paper filings, and maintain a calendar of critical deadlines.
- Assist attorneys with reviewing contracts and preparing case summaries for consultations.
- Maintain consistent client communication, providing updates, answering inquiries, and gathering case information.
- Manage attorney schedules, coordinate meetings, and track deadlines for both legal and administrative matters.
- Organize and maintain physical and electronic client files in compliance with firm policies and procedures.
- Answer and screen phone calls, manage emails, and respond to routine client inquiries.
- Assist with billing processes, including time entry, invoicing, and payment tracking.
Qualifications
- Previous experience as a paralegal or legal assistant is preferred; administrative experience in a professional office environment is a plus.
- Proficiency with legal research tools and software such as Lexis-Nexis, Microsoft Office Suite, and MyCase (or similar practice management software).
- Exceptional organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with meticulous attention to detail in drafting and proofreading.
- Ability to manage client relationships with professionalism and discretion.
- Self-motivated and able to work both independently and collaboratively.
