Job Summary:
The Surgery Scheduler conducts duties such as: scheduling surgical procedures, patient education and communication, scheduling appointments, prior authorizations, care coordination and other related tasks as needed. The Surgery Scheduler provides professional clerical support following established standards and practices. This position is responsible for scheduling surgery appointments along with other clerical duties.
Essential Job Duties and Responsibilities include the following. Other duties may be assigned:
- Schedule surgeries in coordination and cooperation with both internal and external providers, with surgeries occurring at multiple facilities.
- Obtain prior authorizations from insurance companies for surgical procedures.
- Prepare pre-operative folders for surgical patients.
- Schedule patient visits, including completing data entry in Epic and preparing all necessary documentation within the medical record for the physician to review.
- Determine if any insurance pre-authorization is needed and mail patient information packets as necessary.
- Obtain referrals and authorizations as necessary for all clinic patient encounters, procedures, and surgeries.
- Schedule and confirm patient surgical appointments, ensuring all necessary documentation is completed.
- Verify insurance information and obtain pre-authorizations as required.
- Maintain accurate patient records and update scheduling software with relevant details.
- Communicate effectively with patients, healthcare providers, and insurance companies to facilitate smooth scheduling processes.
- Utilize ten key typing skills for data entry tasks related to patient scheduling and record maintenance.
- Provide excellent customer service by addressing patient inquiries and concerns promptly.

- High school diploma or equivalent.
- Minimum two years of surgery scheduling experience.
- Prior experience verifying patient benefits.
- Strong knowledge of medical terminology.
- Ability to be a self-starter who can multi-task in a stressful, deadline-oriented environment.
- Ability to communicate with coworkers, providers, and patients effectively.
- Ability to use a computer and enter data in an electronic medical record system, preferably OCHIN and/or EPIC.
- Medical Assistant triage experience a plus.
- Billing and coding knowledge preferred.
- Must be dependable, reliable, and punctual.
Computer Skills: To perform this job successfully, an individual should have proficient computer skills, including Microsoft Office (specifically Word and Excel), Electronic Medical and Health records, and other applications.
