Position Summary
This position is responsible for managing the Equipment Administration including the tracking of purchase/in-service, transfers or other changes in assignments during the life of the unit as directed by Operations.
Essential Functions
- Ordering, tracking, relocating, and selling of all Service Vehicles both owned and leased by KAG. Supporting the “My driver link” program to ensure car operators report personal and business mileage for tax compliance.
- Oversight of the fuel card program to ensure compliance and accurate reporting for miles and MPG of the fleet. Reviewing maintenance expenses on all service vehicles, monitoring for up to date odometer information, tracking usage of the vehicle, and ensuring that preventative maintenance is performed. Also included in the scope of the maintenance is the approval or denial of excessive repairs on the fleet of 350 owned and leased service vehicles.
- Ensuring the workflow/approvals of equipment related activity (in-service, transfers and disposals) are communicated and updated in all systems timely and accurately. This includes communicating proper procedures to all operations and support center staff, monitoring software (Alloy/Help Desk) used to facilitate process for compliance, working with IT to address any technical issues or necessary changes with the user interface, addressing non-compliance issues with appropriate users or departments as needed.
- Updating fleet asset management systems and dispatch systems to ensure equipment is assigned to correct business unit, cost center, and correctly classified in use and status as directed by KAG operating team. This includes company owned revenue fleet, leased fleet, owner operators and customer owned units used in the KAG operation.
- Tracking and reporting all long term leased tractors and trailers to ensure compliance with lease terms and proper utilization
- Gather data to ensure annual EPA Smartway report submitted timely and certification obtained for all KAG U.S. companies.
- Provide direct feedback based on factual data derived from the use of the fleet asset management system.
- Provide ad-hoc reporting related to fleet inquiries.

- 5 years recent experience related to transportation industry
- Ability to coordinate multiple group efforts within the company to achieve objectives.
- Excellent written and verbal communication skills.
- Excellent organizational and problem solving skills.
- Ability to handle multiple tasks, with awareness of deadlines.
- Ability to identify processes needing improvement, and to recommend improvements.
- Proficient use of Microsoft applications including Word, Excel and PowerPoint.
- Prior management experience, including the ability to motivate and direct multiple reports.
