About the Role
This role is at the heart of our financial and operational processes, ensuring accuracy, efficiency, and seamless coordination across teams. You’ll manage CRM and contract data, maintain product and pricing information, oversee billing and accounts payable, and support financial reporting. Your attention to detail and expertise in QuickBooks, CRM systems, and financial management will help keep our operations running smoothly. Key Responsibilities: Accounts Payable, Accounts Receivable and Client Administration
- Oversee the billing process for enterprise clients, ensuring invoices are accurate and sent on time.
- Manage accounts payable, ensuring timely payments and accurate tracking.
- Track and manage accounts receivable, ensuring timely collection of payments and follow-ups on outstanding balances.
- Maintain proper documentation for billing, payments, reconciliations, and A/R transactions.
Financial Management & Reporting
- Update cash flow projections and monitor financial performance.
- Maintain company books in QuickBooks, ensuring all transactions are categorized correctly.
- Keep clean and accurate financial data for profit and loss (P&L) reporting.
- Assist in month-end and year-end closing processes.
- Process Improvement: Identify opportunities to streamline AP, AR, and billing workflows, and work with appropriate stakeholders in implementing best practices to enhance efficiency and accuracy.
Product & Pricing Management
- Maintain and update product descriptions, pricing, SKUs, and relevant details across internal systems.
- Ensure product data accuracy across QuickBooks, CRM, and company-specific platforms.
- Collaborate with sales, marketing, and finance teams to ensure pricing aligns with business objectives.
CRM & Contract Management
- Update CRM fields to reflect changes in company contracts, ensuring accurate and up-to-date records.
- Monitor contract updates and modifications, ensuring compliance with company policies.
- Work closely with sales and legal teams to align contract data with operational needs.
Required Skills & Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field (preferred).
- Proficiency in QuickBooks is a must; familiarity with HubSpot, Avalara, and Google Workspace is beneficial.
- Strong understanding of complex billing, accounts payable, and bookkeeping.
- Ability to work with large datasets, ensuring accuracy and data integrity.
- Excellent organizational skills with extreme attention to detail and cross-checking.
- Strong communication skills to collaborate across departments.
- Experience with cash flow management and financial projections is a plus.
