Key ResponsibilitiesTransaction & Listing Management:
- Oversee administrative details of transactions, ensuring deadlines are met and documents are properly prepared and filed.
- Manage MLS entries, price adjustments, and listing coordination (staging, photography, marketing materials).
- Prepare, review, and submit real estate contracts, disclosures, and forms.
- Track transaction timelines and coordinate with clients, agents, lenders, and title companies.
Marketing & Client Engagement:
- Assist in creating and scheduling marketing content (social media posts, email campaigns, listing promotions).
- Maintain and update CRM/client database to track follow-ups and key dates.
- Conduct market research to track trends and opportunities.
- Coordinate client gifts, event planning, and personal touches to enhance relationships.
Administrative & Operational Support:
- Manage my schedule, ensuring meetings, calls, and appointments are streamlined.
- Monitor and organize emails, handling responses and flagging important messages.
- Maintain a digital filing system for transactions, contacts, and client information.
- Assist in preparing reports and tracking business metrics.
- Run occasional work-related errands (mailing documents, dropping off client gifts, etc.).
Qualifications & Skills
- Real estate experience required—you should be familiar with contracts, transactions, and industry software.
- Highly organized—you’re the type who doesn’t let details slip through the cracks.
- Tech-savvy—experience with MLS, DocuSign, Google Suite, Canva, CRM platforms (or quick to learn new tech).
- Marketing knowledge—basic experience with social media, email marketing, and Canva is a plus.
- Exceptional communication skills—both written and verbal, with a professional, proactive approach.
- Problem-solving mindset—you anticipate needs and take initiative.
- Flexible and adaptable—you’re comfortable with an ever-changing workday.
- Confidentiality and discretion—a must in real estate.
- Reliable transportation—valid driver’s license and car required.
- Resides in or near Greater Portland, Maine—local knowledge is helpful.
Compensation & Work Structure
- Hours: Part-time, 10-15 hours per week, with potential for growth.
- Location: Hybrid remote, based in Falmouth, ME.
- Pay: $22-$27 per hour, based on experience, with potential for bonuses.
