The Applicant Support Coordinator will answer applicant inquiries through telephone calls or e-mail, problem-solve with applicants and enter data into our customer relationship center database. Serves as the initial point of applicant contact for issues within the organization. This position supports the Disaster team that completes rehabilitation and reconstruction projects funded by HUD's Community Development Block Grant Disaster Recovery (CDBG-DR) Program.
Job Responsibilities:
- Serve as the primary point of contact for applicants, providing timely, accurate, and professional responses to inquiries via phone, email, or other communication channels.
- Ensure all applicant interactions are handled with exceptional customer service, maintaining a calm and solution-focused demeanor, even in challenging situations.
- Safeguard applicant data by strictly adhering to state and federal guidelines for handling personally identifiable information (PII).
- Act as a liaison between applicants and internal teams, particularly the construction team, to ensure clear communication and resolution of applicant concerns.
- Analyze applicant inquiries to identify trends, recurring issues, or potential process improvements, and escalate findings to management.
- Collaborate with cross-functional teams to address and resolve applicant issues effectively, ensuring alignment with program objectives and timelines.
- Accurately input and maintain applicant information in the customer relationship database in real time during interactions, ensuring data integrity and compliance.
- Demonstrate proactive problem-solving by identifying opportunities to streamline processes and improve the applicant experience.
- Maintain up-to-date knowledge of HUD's Community Development Block Grant Disaster Recovery (CDBG-DR) Program and organizational policies to effectively guide and assist applicants.
Required Qualifications:
- Minimum of one year of experience in case management or a related field.
- Demonstrated expertise in delivering exceptional customer service.
- Proven ability to remain calm and professional in high-pressure or stressful situations.
- Ability to work on-site in an office environment, maintaining regular attendance and punctuality.
- Excellent written and verbal communication skills, with the ability to effectively interact with applicants and team members.
- Proficiency in Microsoft Office applications at an intermediate level (e.g., Word, Excel, Outlook).
- Strong organizational skills with the ability to manage and prioritize multiple tasks effectively.
- Self-motivated with the ability to work independently while maintaining high productivity.
- Exceptional attention to detail and accuracy in all aspects of the role.
