What You'll Do:
Executive Support & Operations
- Keep the Founder well informed of upcoming commitments and responsibilities.
- Manage the CEO’s calendar, handle confidential correspondence, and organize travel arrangements, ensuring her time is spent efficiently and effectively.
- Serve as the go-to point of contact for all matters related to the CEO’s activities, ensuring smooth communication with the team, clients, and key stakeholders.
- Address any incoming issues with discretion and confidence, providing timely solutions for both urgent and confidential matters.
- Manage and maintain team drives and operational systems.
- Perform clerical duties such as filing, organizing, and mailing.
- Manage team lead calendars, schedules, and travel arrangements.
- Oversee database management.
Client & Marketing Support
- Plan and execute client appreciation events throughout the year.
- Implement and oversee the team gifting strategy.
- Assist with social media initiatives and marketing strategies to enhance brand presence in the luxury real estate market.
- Handle miscellaneous client satisfaction tasks to ensure an exceptional client experience.
- Orchestrate various networking activities, including scheduling, venue booking, event setup, and follow-up tasks.
Transaction & Listing Management
- Manage the listing lifecycle from getting a home ready for market, weekly client updates, coordinating repairs with vendors, and executing the post-close checklist.
- Maintain inventory of signs, lockboxes, staging items, and other real estate-related materials.
- Prepare closing binders and closing gifts.
- Oversee staging inventory and coordination.
Who We're Looking For:
- 1 years of administrative support experience, preferably in real estate, marketing, or professional services.
- BA/BS degree or equivalent experience preferred.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Monday) with a strong technical aptitude.
- Excellent communication and interpersonal skills, both written and verbal.
- Highly organized with strong time management and attention to detail; thrives on accuracy and timeliness.
- Ability to multi-task in a fast-paced environment while maintaining a pleasant and professional demeanor.
- Self-motivated, proactive, and committed to confidentiality.
- Persistent and focused, with a dedication to achieving results.
