EDUCATION: High School Diploma or equivalent required. College degree in Hospitality Management preferred, experience can be substituted for education. Ability to speak, read, write, and comprehend the English language at a level sufficient to communicate effectively with clients, members, guests, and co-workers.
TRAINING & EXPERIENCE: Minimum of 5 years resort experience or a Hospitality degree preferred. Front Office Supervision experience a must.
JOB KNOWLEDGE: Working knowledge of services provided by all Front Office positions, to include Bell Service, PBX, Reservations, Concierge and Front Desk.
JOB SUMMARY: Greet and register arriving guests. Anticipate their needs and wants. Supervise Front Desk staff.
PHYSICAL ABILITIES: Must be able to drive a motor vehicle. Be able to assist guests with luggage, escort them to the Front Desk, and if needed escort them to their room.
DUTIES AND FUNCTIONS:
1. Must be able to work a flexible schedule, to include weekends, holidays and split shifts.
2. Arrive to work on time, consistently.
3. Upon entering the property, arrive in proper uniform, crisp, clean and in good repair.
4. Hair must be clean and cut in a becoming style; management has final approval.
5. Attend all required training, safety, office and departmental meetings.
6. Report any safety hazards, follow up that hazard has been corrected, and assist with providing a safe work environment.
7. Assist the Director of Lodging in the development and the monitoring of the efficient operation of the computerized Reservation, PBX, and Front Office system. Ensure that individual reservation requests are handled promptly and courteously.
8. Supervise the daily operation of the guests check-ins and check-outs, ensuring a positive and efficient process.
9. Responsible for the performance of the Bell Stand, Front Desk and PBX departments.
10. Coordinate with the Housekeeping Department when rooms are vacant and ready for arrival.
11. Correspond with the Maintenance Department when there is a room that needs repair work completed.
12. Monitor the PBX system, ensuring consistent and courteous service by phone.
13. Ensure guest security by monitoring the room key procedures.
14. Maintain a reliable guest history file on all guests, to include dates, number in party, room number, rates, and any special preference.
15. Prepare and maintain guest folios, furnishing daily computer reports, posting charges, and forwarding to accounting after check-out.
16. Expedite guest inquiries, requests, and complaints.
17. Execute the general responsibilities common to all Club management staff in minimizing the costs of unit operations and in safeguarding the property and the reputation of the Club.
18. Ensure a high standard of appearance and politeness among guest contact staff.
19. Employ, train, supervise, recommend salary levels and terminate appropriate personnel.
20. Staff performance evaluations completed on a timely and consistent basis.
21. Assist the Director of Lodging with weekly staff meetings, keeping all staff informed of all policies concerning member/guest and personnel relations.
22. Oversee daily scheduling of staff, working toward reducing labor costs.
23. Maintain high sanitation and safety standards, by training and working daily with staff.
24. Handle complaints of members and guests regarding merchandise quality or service.
25. Employ, train, schedule, supervise, recommend salary levels, and termination of all Front Desk staff.
26. Execute the general responsibilities common to all Club management staff in minimizing the costs of unit operations and in safeguarding the property and the reputation of the Club.
27. Ensure a high standard of appearance and politeness among guest contact staff.
28. Staff performance evaluations completed on a timely and consistent basis.
29. Hold regular staff meetings, keeping all staff updated on Front Desk issues.
30. Perform and follow up on any other duties assigned by the Lodging Director.
