Job Description:


SUMMARY:

The Personal Assistant I work with Soldier Readiness Processing (SRP) Site Adjutant General (AG) section in processing of Record of Emergency Data (DD Form 93). Always maintain professionalism and provide customer service to each service member.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Perform clerical and secretarial duties.
  • Provide support to the functional areas for the Directorate of Plans, Training, Mobilization and Security (DPTMS), Mobilization Branch, Personnel Section.
  • Facilitate the processing of Active-Duty soldiers and Non-Logistics Contractors (NLCs) DD Form 93 to designate beneficiaries for specific benefits. Ensuring the soldier’s command is provided with designated emergency contact information in the event of an emergency or death.
  • Conduct updates to beneficiary information utilizing the Integrated Personnel and Pay System-Army (IPPS-A).
  • Perform roster scrubbing prior to the arrival of soldiers at the Soldier Readiness Processing (SRP) site.
  • Retrieve and assess the most recent DD Form 93 from Interactive Personnel Electronic Records Management System (IPERMS) to verify completion within the last 60 days prior to the soldier’s arrival at SRPC site.
  • Complete the DD Form 93 for NLCs in a PDF format, print copies for their records, and provide copies to CRC for proper record-keeping.
  • Oversee the verification of completed DD Form 93 updated by a designated clerk, ensuring the soldiers DD Form 7425 (Readiness Checklist) is stamped and documentation is finalized.
  • Understand and comply with all Performance Work Statement requirements.
  • Will support and enforce the QC/Safety’s Programs guidance.
  • Adherence to all TLC Policies accessed through Deltek Costpoint via the following path.

  • This position supports the DOD on a federal installation and the candidate must be available to work at the assigned physical location during business hours.

    • Shift A 8:00AM-4:30PM Every Other Monday 6:00-2:30 (M-F)

    NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Other duties as assigned/approved by management.
  • Adherence to all TLC Policies accessed through Deltek Costpoint via the following path.

    SUPERVISORY RESPONSIBILITIES:

  • This job has no supervisory responsibilities.

Requirements:


  • EDUCATION and/or EXPERIENCE:

    Essential:

  • High school diploma/GED or equivalent.
  • Working knowledge of Adjutant General functions of the U.S. Army
  • Must have proficient computer skills and experience in using Microsoft Office.
  • Must be able to effectively communicate with employees within the office, personnel in other offices and military personnel to clarify, obtain or provide information.
  • Required to pass the DD 93 Form and the DD Form 214 certification training.
  • Familiar with applicable Army and Joint Travel regulations and DOD pay Entitlements.
  • Knowledge of Army rank structure.
  • Knowledge of mobilization/demobilization operations IAW FORSCOM Regulation 500-3-1 through 500-3-5 and the Personnel Policy Guidance
  • Knowledge of principles and processes for providing customer and personal services.
  • Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
  • Must have the ability to multi-task and work in a fast-paced environment.
  • Must be able to perform under deadlines.

LANGUAGE SKILLS:

Ability to read, comprehend and explain instructions, letters, memos, emails, and correspondence from inside the organization as well as from external sources. Ability to effectively respond, communicate and present information to customers, internal and external, clients and other employees in the organization. Ability to interpret instructions and information and explain to others in the performance of this job in English.

PHYSICAL DEMANDS:

Work is generally performed in an office environment which requires sitting or standing and working on a

computer for long periods of time. Required to walk, stand, sit and move about the property for long periods of time. Essential and marginal functions require maintaining physical condition necessary for: bending, stooping, sitting, walking, or standing for prolonged periods of time, operating through extended periods of high stress. If applicable the employee must occasionally lift and/or move up to 50 pounds. Must possess visual acuity to review written documentation; ability to hear and understand speech at normal room levels and on the telephone; and the manual dexterity to operate a cell phone, handheld radio, telephone, and keyboard.

WORK ENVIRONMENT/HOURS:

This position is not eligible for remote work, as the essential functions of the role require the employee to perform duties on-site. Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. If applicable work 10( ) hours per day. Must be able to work in fast paced, multi-task environment. Will require having flexed hours to accommodate for mission requirements to include weekends and Holidays. Overtime may be required.

EXPECTATIONS:

  • Transportation & Access: You must have reliable transportation to and from work and be able to access military installations.
  • Background & Drug Screening: Employment requires passing a background check and pre-employment drug screening. Random drug and alcohol testing may also occur without prior notice.
  • Timesheets: Record your actual work hours daily and ensure your entries are accurate and timely to support smooth operations.
  • Dress & Punctuality: Arrive on time and dress appropriately for your shift.

All employees are required to undergo an initial background investigation as a condition of employment. Additionally, employees may be subject to subsequent background investigations if circumstances warrant, such as the emergence of a need, an issue, or probable cause.

Employees assigned to work on federal installations or projects must also comply with government-mandated background investigations, which are conducted independently of the company's investigations. Employment and continued assignment to federal installations are contingent upon successfully meeting and maintaining these requirements.
