Description
The Maryland-National Capital Park and Planning Commission, Department of Parks and Recreation, Prince George's County is seeking an Assistant Facility Director to perform day-to-day operational duties within the Arts & Cultural Heritage Division, Newton White Mansion & Snow Hill Manor. The successful incumbent will have a high degree of specialized knowledge and expertise related to recreation.
The Maryland-National Capital Park and Planning Commission is an award-winning organization with over 5,000 employees that administers over 52,000 acres of stream valley parks, large regional parks, neighborhood parks and park-school recreation areas throughout Montgomery and Prince George's Counties. Prince George's County is also responsible for developing and delivering the County's public recreation programs.
The Arts and Cultural Heritage Division coordinates and manages four arts facilities; five historic rental properties; the Prince George’s Equestrian Center at The Show Place Arena; community arts services; youth and teen arts services; art exhibitions; visual and public art for Commission and Department facilities; and other programs serving County arts organizations, artists, and residents. Programs include art camps; visual and performing arts classes and events; teen art initiatives; art exhibitions; performances in music, dance, and theatre for all ages; touring performances for school children; a community park summer music series and festival, Shakespeare in the Parks; artist studios; rental facilities for arts and non-arts organizations; artist residencies; and rental of historic sites for social functions. The Division staff coordinates various cultural heritage events including Hispanic Heritage Month and, Black History Month programs and poster internships; Asian Pacific Heritage Month programs and receptions; the Celebrate Africa festival; etc.
Under general supervision, the Assistant Facility Director at the Newton White Mansion & Snow Hill Manor will assist the Facility Director with monitoring the day-to-day operations of two historic rental venues for the Department of Parks and Recreation. This position requires effective decision making, multitasking, and operative communication with the Facility Director, maintenance team, and office staff and the ability to work in a demanding environment. This position performs facility operational duties such as assisting with facility management, marketing programs, maintaining budgets and expenditures, supervising activities, maintaining historic venues and other related duties as assigned.
Examples of Important Duties
- Supervise maintenance staff, office staff and services by managing office procedures and operations, generating office and event calendars, monitoring staff with client interactions, and assist facility director with facilitating meetings with staff on a regular basis.
- Assist with recruiting, training, and managing direct reports in event management, maintenance and administrative procedures related to their individual job functions.
- Familiar with event management systems such as RecTrac and use of other technology, applications, and software/databases specific to job functions, such as, but not limited to, planning and scheduling, communicating, data entry or word processing, manipulating data, time and attendance reporting, requisitions/purchasing, research, personnel actions and performing other functions as assigned.
- Assist with monitoring annual revenue goals by ensuring that bookings are accurate.
- Assist with maintaining administration records to include reservation records, monthly revenue report, refunds, and cancellations.
- Assist with planning, organizing, and implementing comprehensive community-based cultural, interpretive, historical or recreation activities for a diverse population for the promotion of Newton White Mansion and Snow Hill Manor, and the Historic Venues of Prince George’s brand.
- Prepare client correspondence, contracts, cancellations, and refunds promptly.
- Assist with managing rental program for weddings, rehearsals, meetings and ceremonies; sets rental fee structure for facility, equipment uses and event staffing.
- Assist with reviewing rental requests with potential clients, coordinating event details, approving rentals and preparing rental agreements.
- Assist with outlining rental policies and guidelines specific to assigned facility; provides changes to policies and guidelines as relevant to the facility and services. Ensures the facility is prepared and properly set up for events
- Assist with developing advertising programs and community outreach to publicize, coordinate and market facility services and promote attendance.
Works a diverse schedule of evenings, weekends and holidays, which at times exceeds the normal work week.
Minimum Qualifications
- Bachelor’s Degree in Parks and Recreation, Recreation Management, Facility Management, Education, Business Administration, Physical Education, Communication, Leisure Services, or any related field.
- One (1) year of responsible professional experience working in a facility related to parks, recreation, leisure services, or area of required specialty (e.g., arts, performing arts, tennis, aquatics, ice rinks).
- An equivalent combination of education and experience may be substituted, which together total five (5) years.
- Valid driver’s license in accordance with both State and Commission rules and regulations. Driver's license must be unencumbered by restrictions, revocations, suspensions or points that could limit the employee's ability to drive Commission vehicles or perform driving duties required of the position.
- Contingent upon area of assignment, some positions in this class may require valid: (a) operating license (e.g., county pool operator, childcare license) as appropriate; (b) First Aid, CPR, and automated external defibrillator (AED) certifications; or (c) certifications as related to assignment (e.g., Lifeguard Instruction, Fundamentals of Gymnastics).
- Pass Commission medical exam.
