We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will be responsible for ensuring efficient office management, supporting administrative functions, and fostering a positive work environment. The role is approximately 1/3 Office Management, 1/3 Executive Assistant, and 1/3 Customer Service/Order Management/Follow up - we sell high-quality architectural stone and sandstone products. Did you know the Boise foothills has a quarry? We mine the sandstone locally and then process it at our 2251 S Empire Way location.
Responsibilities
- Oversee daily office operations and ensure a smooth workflow.
- Manage office supplies and vendor relationships, ensuring timely procurement and inventory management.
- Handle human resources tasks including onboarding, employee records management, and compliance with company policies.
- Maintain accurate filing systems for documents and records, both physical and digital.
- Coordinate schedules, meetings, and appointments for staff members.
- Provide administrative support including managing correspondence, phone etiquette, and responding to inquiries.
- Utilize Sage accounting/ERP system for financial tracking and reporting as needed.
- Communicate effectively with team members and external partners to ensure alignment on projects and initiatives (e.g. work with yard staff on keeping their PPE safety items and tools in stock and ordered).
Skills
- Proven experience in office management or a related field.
- Excellent phone etiquette and communication skills.
- Culture fit: sense of urgency, great with details and follow up, humble, kind
- Proficiency in QuickBooks, Sage, or similar accounting software preferred.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
- Experience in vendor management and schedule management.
- Ability to maintain confidentiality and handle sensitive information responsibly.
- Strong administrative skills with attention to detail.
